Job Description

Founded in 1936 and situated in western North Carolina, Brevard Music Center stands as one of this country's premier summer training programs and festivals. More than 1000 gifted students, ranging from high school through post-collegiate and beyond, come to the Music Center every summer to study with a distinguished faculty of over 150 artists from the nation's leading orchestras, colleges, and conservatories. President & CEO Jason Posnock and Artistic Director Keith Lockhart lead the Brevard Music Center's Institute and Festival.


Position Overview





BMC is seeking a full-time Office Administrator who will coordinate day-to-day office operations, provide administrative and technology support across departments, and perform transaction entries related to donations, tuition, and box office revenue. The Office Administrator ensures efficient office functions, accurate data entry, and effective communication with staff, patrons, students, and other stakeholders.


Primary Duties and Responsibilities




Office Administration




Oversee daily office operations to ensure a professional, efficient, and welcoming environment. Serve as the first point of contact for staff, patrons, students, vendors, and visitors entering Ombres Administration Building. Maintain office supplies, equipment, and vendor relationships. Support coordination of organizational meetings, including scheduling, document preparation, and minutes. Coordinate with Directory for incoming calls and communication. Assist with seasonal staff and intern onboarding logistics during the Festival Summer Season. Work across different departments to assist with day-to-day activities and long-term projects. Perform other duties as assigned by the Chief Financial Officer or other senior leadership. Support the Finance Department. Accurately record and process financial transactions related to donations, student tuition, and box office revenue, ensuring compliance with accounting and audit requirements. Provide administrative support for financial functions including cash handling, deposits, and data entry into accounting or CRM systems.

Support the Information Technology Department




Support staff with their basic technology needs i.e. computers, phone system, copier/printers and network/software access. Train with the IT Director to be proficient in being the first line of assistance to staff for IT issues. Assist the IT Director with troubleshooting IT issues and other projects.

Qualifications




Associate's or Bachelor's degree in Business Administration, Office Management, or related field preferred. Two or more years of administrative or office management experience; nonprofit or arts organization experience a plus. Familiarity with transaction entry and financial recordkeeping; experience with Tessitura, Oracle NetSuite, or other CRM/accounting software preferred. Strong organizational skills, accuracy, and attention to detail. Excellent interpersonal and communication skills with the ability to interact professionally with staff, patrons, and students. Proficiency in Microsoft Office applications, particularly Excel and Word. Ability to manage multiple priorities, work independently, and meet deadlines. Willingness to work extended hours during the Festival Summer Season.

Working Conditions




Work takes place primarily at the main office; occasional travel to other BMC buildings is required. Additional training opportunities available to increase job effectiveness. Seasonal extended work hours to meet specific deadlines and assignments. Position reports to the Chief Financial Officer.

Requirements




Completion of a satisfactory background check. Must have a valid state driver's license and possess a clean driving record. Must be able to perform physical activities such as lifting and carrying up to 20 pounds, with or without reasonable accommodation.
