We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, and bookkeeping. This role offers an opportunity to contribute to a dynamic work environment, ensuring efficient workflow and excellent service delivery across various departments. They will be the first point of contact for grieving families, hospices, and hospitals following the loss of a loved one. Being professional, courteous, and helpful in an office setting is paramount.
Duties
Manage calendar scheduling, appointments, and meetings to ensure smooth daily operations.
Handle bookkeeping tasks using QuickBooks, including invoicing, deposits, expense tracking, and financial reporting.
Maintain accurate filing systems--both digital and physical--and ensure confidentiality of sensitive information.
Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professional phone etiquette.
Proofread all family-facing documentation and email final proofs to families prior to publication/print.
Work with local and online publishers to ensure paid notices and obituaries are timely and correctly published.
Coordinate service details with local pastors, churches, and cemeteries.
Oversee office supply inventory and order necessary materials in a timely manner
Ensure compliance with office policies and procedures while fostering a positive work environment.
Requirements
Proven experience in office administration or related roles with strong clerical and organizational skills.
Prior experience in office management, bookkeeping, and call reception preferred.
Familiarity with QuickBooks or similar accounting software.
Excellent communication skills--both verbal and written--and professional phone etiquette.
Strong organizational skills with the ability to manage multiple priorities effectively.
Knowledge of funeral services is advantageous but not required.
Proficiency in filing systems, calendar management, and multi-line phone systems.
Ability to adapt quickly to changing priorities and maintain a high level of professionalism at all times.
Pay: $17.00 - $22.00 per hour
Expected hours: 40 per week
