Duties



Oversee daily office operations, including front desk management, multi-line phone systems, and visitor coordination to create a welcoming environment. Manage calendar scheduling for executives and team members, ensuring all appointments, meetings, and events are organized efficiently. Coordinate event planning activities such as meetings, training sessions, company functions, and community outreach events to promote team engagement. Supervise administrative staff and support team management efforts by providing training and development opportunities to enhance office productivity. Handle vendor management tasks including negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining positive vendor relationships. Oversee human resources functions such as onboarding new employees, maintaining personnel records, assisting with payroll processing, and supporting employee engagement initiatives. Maintain accurate bookkeeping records, manage budgeting processes, and perform basic office bookkeeping duties to ensure financial accuracy. Conduct filing, record keeping, and document management to ensure compliance with organizational policies and legal requirements. Support medical or specialized office management tasks if applicable, including patient or client record handling and appointment scheduling. Ensure effective communication across departments by drafting correspondence, managing internal communications, and upholding professional phone etiquette. Assist with clerical tasks such as data entry, report generation, and supply inventory management to keep the office well-stocked and organized.

Experience


Candidates should bring proven experience in an administrative or office management role with a strong foundation in clerical duties and organizational skills. Prior supervisory experience is highly valued for leading teams effectively. Familiarity with office software such as QuickBooks for financial tasks is essential; experience with medical office management or human resources functions is a plus. Candidates must demonstrate excellent communication skills--both verbal and written--and possess the ability to manage multiple priorities efficiently through exceptional schedule management and organizational abilities. Base Pay: $60,000.00 - $70,000.00 per year
