This job is part time to start with the potential for full time depending on the candidate. we are flexible on the number of days and hours required for the right candidate.

Must have clean background and be able to pass a drug screening no exceptions

Responsibilities



Manage front desk operations by greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy. Handle all administrative tasks including data entry, filing, proofreading documents, and maintaining organized records. Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations efficiently. Oversee calendar management and scheduling for meetings, appointments, and events using digital tools. Assist with bookkeeping activities using QuickBooks or similar accounting software to support invoicing, expense tracking, and financial record keeping. Provide exceptional customer support by addressing inquiries promptly via phone or email while maintaining excellent phone etiquette. Support office management functions such as supply ordering, inventory tracking, and maintaining a clean and organized workspace. Coordinate with other departments or external vendors to ensure seamless office operations. Perform clerical duties including photocopying, scanning, mailing tasks, and proofreading documents for accuracy. Manage personal assistant responsibilities such as calendar management for executives or team leaders when required.

Skills



Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Calendar), and basic computer literacy. Familiarity with QuickBooks or other bookkeeping software is highly desirable. Excellent communication skills with the ability to handle multi-line phone systems confidently; bilingual abilities are a plus! Strong customer service orientation with professional phone etiquette and interpersonal skills. Ability to perform data entry accurately with fast typing speeds; attention to detail is essential for proofreading tasks. Experience in office management tasks such as filing systems, inventory control, and supply procurement. Effective time management skills to prioritize tasks efficiently in a fast-paced environment.
