Job Summary



The position of Nursing Administrative Specialist is responsible for providing administrative support to the Director and Assistant Director of Nursing as well as other members of the Nursing Department at Donnelly College.

Responsibilities



Prepare and attend nursing student & faculty orientations, including preparation of badges and parking passes for new students.

Keep a physical and electronic record of attendees

Work with the DON/Director of Nursing to complete files.

Email or mail documents to accrediting bodies within due dates.

Assist the DON to prepare FQR/Faculty Qualification Reports; track, record and file physical and electronic copies.

Assist the VP of Academic Affairs and DON in creating and finalizing faculty contracts; track, record and file physical and electronic copies.

Obtain transcripts & resumes from new employees to create Faculty Credential Forms.

Obtain the Credential signatures and forward the electronic copy to Human Resources.

Establish and maintain the nursing filing system, both hard copies and electronic files.

Update Nursing Organizational Chart each semester.

Mange the applicant spreadsheet for nursing department positions, including screening applicants, setting interviews, creating the Background check Release Form, Personnel Action Form and Computing Request Form.

Track the hiring process with Human Resources.

Track, follow-up, and communicate nursing employee licensure deadlines.

Answer phone, schedule appointments, and handle mail for department.

Create and respond to emails for student cohorts.

Coordinate health fair participants, advisory board meetings and take meeting minutes.

Maintain student information boards with scholarship and other announcements.

Aid with report writing and other correspondence.

Maintain confidentiality of health care paperwork and sensitive information that is provided by students who are students of the Nursing Program.

Other duties as assigned by the Director of Nursing.

Qualifications



Bachelor's degree preferred, Associate degree minimum.

Understanding of the nursing profession and allied health curriculum a plus.

Ability to work collaboratively with faculty, administrators, students, and staff with discretion.

Proficient in Microsoft office products

Detail oriented.

Philosophically aligned with the mission and values of the College.

Practicing Roman Catholic preferred or able to support Catholic identity.

Must be able to pass a background check and complete VIRTUS Training through the Archdiocese of Kansas City in Kansas.
