Job Description




Under the supervision of the MSU District Coordinator and general work direction from the Senior Extension Clerk, provides clerical and secretarial support for assigned programs, MSU Educators and other program staff. Manages enrollments for programs and events; prepares cash receipts from registration/enrollment fees, purchases of reference materials, study guides and manuals; and other fees; prepares a variety of hardcopy and electronic documents and graphic materials; and provides other support for assigned programs.

This is a part-time non-benefitted position working out of the Fillmore complex in West Olive, MI.

Essential Job Functions

The essential functions of this position include, but are not limited to, the following:

  • Receives and responds to telephone, email, written and in-person requests for information and assistance, researching and providing information or referring inquiries to appropriate MSU Extension Educators or Program Coordinators.
  • Maintains filing systems that are required/requested on behalf of MSU Extension.
  • Prepares and processes outgoing mail and receives and distributes incoming mail.
  • Assists with basic accounting functions such as receipting payments, balancing event income and expenses, and verifying cash deposits prepared by Senior Extension Clerk.
  • Prepares newsletters, brochures, announcements, manuals, press releases and other communications for electronic distribution or hard copy mailing using a variety of word-processing, graphics and desktop publishing software.
  • Assists educators in planning programs and events, securing meeting sites and ancillary services such as catering and equipment, and preparing event budget. Sets up event online registration process utilizing MSU Events Management system. Manages event registration process and monitors event budget. Prepares program material for participants and responds to client requests for information regarding events. May occasionally assist with offsite events. Assists with compilation of event evaluations following event.
  • Maintains client databases to track contact information and other data required to generate program reports.
  • Performs other office support functions as assigned.
Required Education, Training and Experience

High school diploma or GED required, combined with some post-secondary training in business information systems, bookkeeping or office management and two years of experience in an office position requiring public contact and bookkeeping knowledge; or an equivalent combination of related education and experience.

Additional Requirements and Information

Required Knowledge and Skills: * Good working knowledge of general office protocols, practices, and procedures including knowledge of bookkeeping practices and principles, accurate mathematical skills, accurate keyboarding skills and knowledge of records management.
  • Computer literacy including working knowledge of word processing, desktop publishing, graphics and database management applications software, social media and other electronic media.
  • Good critical thinking and problem solving skills.
  • Good organizational skills with the ability to prioritize the workload.
  • Good verbal and written communications skills.
  • Good customer and interpersonal skills including telephone etiquette.
  • Ability to interact positively and professionally with supervisors, co-workers, program clients and event participants, community and business representatives, and members of the general public from a wide range of cultural and socio-economic backgrounds.
Note: Ability to communicate in Spanish, Lao, Cambodian or other language spoken by ethnic groups residing in the county strongly preferred.

Working Conditions:
Work is generally performed in a normal office environment.
