Motor Shop Operations Coordinator



The Motor Shop Operations Coordinator supports the motor shop by managing workflow and providing essential administrative assistance. This role is key to maintaining a positive, welcoming, and productive environment while interacting with team members across all levels of Hi-Speed, as well as customers and clients.

ESSENTIAL FUNCTIONS

Provide administrative support to ensure smooth day-to-day operations of the motor shop. Answer phone calls, schedule meetings, and assist visitors. Perform administrative tasks including filing, data entry, copying, and scanning. Maintain professional and courteous communication by phone, email, and mail. Support the team with documentation needs and coordinating field equipment requests. Maintain office equipment by performing preventive maintenance, arranging repairs, managing inventory, and evaluating new equipment and tools. Respond to information requests and provide accurate, timely assistance. Assist the manager with purchasing, scheduling, customer correspondence, and other departmental needs. Prepare reports, develop presentations, and conduct research as needed. Coordinate materials, technology, and catering for departmental events and training sessions. Use various company systems (CRM, ERP, scheduling software, timekeeping software, etc.) to support operations, sales, and accounting tasks. Manage supply inventory, anticipate needs, and place or expedite supply orders. Contribute to overall team success by completing related tasks as required.

This role operates in an office environment.

POSITION TYPE/EXPECTED HOURS OF WORK


Full-time position, Monday through Friday, 7:30 AM-4:30 PM.

REQUIRED EDUCATION AND EXPERIENCE



High school diploma or equivalent; some college preferred Previous administrative experience, including creating reports with pivot tables Prior office experience required Industry experience preferred
