Position Overview:

We are seeking an organized, detail-oriented and compassionate Practice Coordinator to join our team on a part-time basis (10 hours per week). This role is pivotal as the first point of contact for potential new clients, requiring both empathy and skill in screening and referring clients to the appropriate providers within our practice.

Key Responsibilities:



Client Coordination:

Screen new patients and refer them to the appropriate providers based on their needs and our staff's specialties.

Provider Management:

Track provider availability and understand staff specialties for effective client referrals.

Administrative Tasks:


Manage and respond to voicemails and emails multiple times daily

Track and pay invoices

Manage referral lists

Manage newsletter distribution

Create marketing materials

Update the website

Generate practice reports

Order supplies

Manage correspondence

Assist with hiring and onboarding processes

Manage calendar for staff meetings

Social Media Management:

Develop and post weekly Instagram content aligned with our messaging and services.

Qualifications:



Background in mental health is preferred. This position is heavy client-facing and requires knowledge in mental health screening. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Basic technical skills necessary to manage and create reports, web updates, and social media messaging.
