At The Noble Mane, the Front Desk Spa Coordinator is the first point of contact for our guests and plays a key role in delivering a seamless luxury experience. This individual is responsible for creating a warm, professional, and polished environment that reflects the sophistication of our men's barber shop and spa. The coordinator manages appointment scheduling, guest check-ins, payments, and ensures all guests receive exceptional service from start to finish.

WHO WE'RE LOOKING FOR
3 years front desk and spa experience required (luxury or men's grooming preferred).
Professional appearance and excellent interpersonal communication skills.
Strong multitasking and organizational abilities.
Proficiency with Vagaro booking systems.
Reliable, punctual, and able to maintain confidentiality and discretion.
Sales and product knowledge experience a plus.
Strong knowledge of Spa services
Must have weekend availability.

RESPONSIBILITIES - WHAT YOU'LL BE DOING
Greet clients with warmth, confidence, and attention to detail
Manage bookings, confirmations, waitlists, and check-ins
Offer beverages, guide them through the intake process, and maintain a calming flow
Handle reschedules, follow-ups, and last-minute changes professionallyFront Desk Management
Operate our booking system - Vagaro
Process payments, apply discounts or gift cards, and manage POS
Keep the front desk and retail areas immaculate and on-brand
Maintain a daily spa checklist and opening/closing responsibilitiesSales + Upselling
Confidently recommend memberships, packages, and retail products
Educate clients on the benefits of treatment plans and skincare routines
Drive retail and service upgrades to support spa revenue goals
Achieve monthly KPIs in sales, rebooking, and conversion ratesInventory + Retail Operations
Manage retail inventory and restock merchandise displays
Receive and log shipments, reorder as needed
Support the spa owner in introducing new products or promos
Maintain product displays for a luxury feel at all timesMarketing Support (Optional/Bonus)
Capture behind-the-scenes content for Instagram and Reels
Help implement promos, holiday campaigns, and community events
Encourage clients to leave reviews or post after treatmentsAdministrative + Reporting
Create daily/weekly reports on revenue, rebooking, and retail sales
Flag appointment gaps and help build schedules to maximize bookings
Track memberships, cancellations, and billing issues
Relay client feedback to the owner and team for continuous improvement
