Memorial & Client Care Liaison

Kalamazoo, MI, US, United States

Job Description

About Us

Peaceful Moments Pet Aquamation & Memorials (PMPA) provides gentle, environmentally sustainable pet aftercare, including aquamation and personalized memorial products. We partner closely with Peaceful Moments Veterinary Care (PMVC), which provides in-home euthanasia and palliative/hospice pet care throughout Southwest Michigan.

We are a heart-centered team dedicated to honoring pets and supporting families with dignity, compassion, and exceptional care.

Position Summary

This hybrid role combines client communication, aftercare coordination, and hands-on memorial products creation.

The Memorial & Client Care Liaison is the primary point of contact for families and veterinary partners. You will guide families through aftercare decisions, collect and confirm case information, coordinate logistics, and create personalized memorial products such as clay paw prints, ink prints, fur vials, and engraved nameplates.

Success in this role requires empathy, excellent communication, attention to detail, and craftsmanship.

Key Responsibilities

Client Support & Communication

Serve as the first point of contact for families via phone, email, text, and online forms. Walk families through aftercare options (private aquamation, memorial products, timelines). Assist with consent forms and case intake, ensuring accuracy and clarity. Communicate professionally with referring clinics, partner providers, and internal team members.
Memorial Product Creation

Create high-quality keepsakes: clay pawprints, ink prints, fur vials, engraved plates. Package final products with care and intention, ensuring they are presented beautifully.
Case Tracking & Operations

Follow chain-of-custody protocols and ensure every case is accurately labeled and documented. Maintain accurate records, invoicing, and internal communication. Track inventory and reorder supplies proactively. Maintain a clean, calm, and organized workspace.
Additional Support (as needed)

Assist with scheduling grief group events, memorials, or client education gatherings. May assist with light social media tasks using prewritten content. Cross-training in pet aquamation operations may occur for appropriate candidates, including case flow, tracking, and transportation support when needed (not required, but growth-oriented).
Qualifications

Experience in client-care settings is preferred. Crafting experience (clay, engraving, jewelry, art) strongly preferred. Exceptional attention to detail and accuracy. Able to stay calm and empathetic during emotionally charged situations. Comfort with technology, scheduling software, and recordkeeping.
Compensation & Benefits

Competitive hourly wage based on experience. Flexible schedule; some remote work possible depending on workflow. Paid time off and holiday pay for part-time staff working over 20 hrs/wk. Continuing education opportunities (grief support, communication skills, memorial product techniques). Growth potential as the memorial and rehabilitation services expand.
