The Part-Time Contracted Membership Coordinator is responsible for managing and enhancing the membership experience from recruitment through retention. This role supports the organization's growth by ensuring timely new/renewal member communication/outreach to soon to be expired members, working in conjunction with the Executive Director for accurate database management and smooth onboarding processes and promotional communications. This includes monthly email and phone call outreach. The coordinator will work closely with leadership to execute membership initiatives and maintain a positive, professional relationship with members and prospective members.
Key Responsibilities
Member Onboarding
Create robust welcome materials and email to new members monthly, providing a new member list to leadership for announcing at monthly breakfast programming.
Call all new members each month to establish relationship and personally welcome and invite them to the monthly breakfast.
Create robust thank you for rejoining/ renewing materials and send to rejoins/renewals monthly.
Member Retention
Monitor renewal dates and send reminders to expiring members
Establish relationships and Conduct follow-up communications to encourage renewals.
Send all member updates to the Executive Director for database updates.
Database & Record Management
Maintain accurate and up-to-date membership outreach records and submit to the Executive Director for documentation.
Generate membership reports for leadership as needed.
Communication & Engagement
Prepare and distribute member updates, newsletters, and announcements,flyers.
Coordinate member updates for social media, or publications (new member lists).
Support event registration and engagement activities as needed.
Collaboration & Support
Work with committees or staff to execute membership drives and campaigns.
Provide administrative support for membership-related projects.
Assist in creating materials to promote membership benefits and value.
Qualifications
Proven experience in membership services, customer service, or administrative support.
Strong verbal and written communication skills.
Excellent organizational skills and attention to detail.
Ability to work independently, manage multiple priorities, and meet deadlines.
Familiarity with nonprofit or association management preferred.
