Job Description

As the Member Engagement Coordinator - Americas, you provide administrative and membership team support for the membership functions for their region. This role involves administrative, operational, and logistical support to ensure seamless execution of member engagement activities. The MEC will provide administrative support to the Americas Membership team and will support and promote AACSB's networking communities and affiliate group activities. The MEC reports to the Vice President, Americas Growth & Engagement.


Essential Duties & Responsibilities:




Collaborate and support the VP of Americas Growth & Engagement and the Member Community Manager to facilitate member community events, meetings and communications, ensuring they align with AACSB's strategic goals. Assist with the recruitment and onboarding of new networking community members and chairs. Assist in developing engagement strategies to foster volunteer satisfaction and retention. Ensure that membership data in the CRM system is accurate, up to date, and complies with data governance standards. Maintain and update membership data in the CRM system and track records. Run reports and pull data from the CRM for the Membership team.

Proficiently use AACSB's systems, including but not limited to, Customer Relationship Management (CRM) system, Monday.com, Microsoft 365 and other technologies as needed.

Respond to daily inquiries and troubleshoot minor concerns or issues, escalating significant concerns to the appropriate team member.

Schedule and coordinate meetings and outreach events as appropriate. Make travel arrangements and handle expense reporting timely for the Vice President. Process invoices and expense reports. Performs other administrative specialist tasks as needed to support the Americas membership team.

Prepare presentations and materials relating to AACSB International to be used during outreach activities and external events. Maintain accurate records and documentation of networking community activities and volunteer participation.

Monitor and manage the membership mailbox, routing inquiries or responding timely and directly where appropriate. Send communications to members as appropriate.

Communicate system or process-related concerns or opportunities to the regional Member Engagement Manager (MEM) and/or Director of Membership and Affiliates and is responsible for updating regional operational practices in alignment with standard operating procedures.

Perform duties in accordance with AACSB International's Mission and Values.

Requirements




Fluency in the English language

Three (3) years as an administrative specialist for a director or higher-level leader

Associates degree in a business-related field

Proficiency in MS 365 (Excel, Word, PowerPoint, Outlook, Teams)

Excellent written and verbal communication skills

Preferred Qualifications




Fluent in Portuguese and/or Spanish

5 years of administrative specialist support

Prior experience working for a membership association and/or in higher education

Bachelor's degree in a business-related field

Prior experience working with a Customer Relationship Management system (CRM), such as Salesforce

Experience working with cross-functional and/or global teams
