We are seeking a dynamic and detail-oriented Medical Office Assistant to join our healthcare team. Responsibilities
Greet patients warmly at the front desk, manage multi-line phone systems, and provide excellent patient service with professional phone etiquette.
Schedule appointments efficiently using electronic health record (EHR)
Verify insurance coverage and benefits, including Medicare and other major insurers, performing insurance verification and authorization processes accurately.
Collect outstanding payments through medical collection procedures while maintaining compliance with HIPAA regulations to protect patient confidentiality.
Prepare and review medical documentation, including care plans, progress notes, and referral letters, ensuring accuracy and completeness.
Assist with intake procedures by gathering patient information, updating medical records, and reviewing documentation for completeness.
Manage medical records filing, scanning, and data entry tasks using various EMR (Electronic Medical Records) systems .
Support clinical staff with medical coding activities including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), ICD coding, and billing processes to ensure proper reimbursement.
Perform office management duties such as maintaining supplies, organizing files, managing appointment reminders, and handling clerical tasks like typing reports using Microsoft Office tools.
Ensure compliance with HIPAA standards during all documentation review processes and maintain accurate health information management practices.
Assist in billing procedures by submitting claims electronically and following up on unpaid accounts to optimize revenue cycle management.
Provide bilingual support in English and Spanish when needed to enhance communication with diverse patient
Experience with EMR systems , knowledge in health information management .
Focus on accuracy and compliance with HIPAA regulations.
Excellent organizational skills for managing medical records, filing systems, appointment scheduling, and office workflows.
Exceptional customer service skills coupled with professional phone etiquette for handling patient inquiries via multi-line phone systems.
Computer skills including Microsoft Office Suite (Word, Excel) for documentation review and administrative tasks.
Ability for data entry tasks.
Understanding of insurance verification .
Bilingual abilities in English and Spanish are highly valued to support diverse patient needs effectively.
Previous clinic or healthcare office experience demonstrating competence in front desk operations and medical administrative support is required.
