As our patient base expands, we're looking for an experienced and motivated Medical Front Office Coordinator/Patient Relations Specialist who excels in both front office operations and marketing outreach. This position is ideal for someone who enjoys engaging with patients, managing the details of a busy medical office, and helping a young practice grow.
Position Summary
This is a front office medical receptionist role with an added focus on patient engagement and marketing. You will be the first point of contact for patients--both in person and over the phone--and play a key role in insurance verification, appointment scheduling, and referral coordination.
You'll also contribute to the marketing and relationship-building efforts that help our practice connect with local providers, urgent care centers, and community partners.
Key Responsibilities
Front Office Operations
Greet and check in patients with professionalism and warmth.
Manage appointment scheduling, patient calls, and messages using a VoIP phone system and EMR.
Verify insurance benefits and eligibility through centralized and insurance-specific portals.
Collect copayments, process billing information, and maintain accurate patient records.
Support providers and the medical assistant with patient flow and office efficiency.
Patient Service & Retention
Deliver exceptional customer service and ensure a positive patient experience.
Educate patients about the importance of ongoing care and follow-up appointments.
Reduce no-shows through proactive reminders and clear communication.
Marketing & Outreach
Build and maintain relationships with referral sources including general and specialty practices, urgent care centers, therapy providers, etc.
Assist in developing community outreach and referral marketing strategies.
Track referral results and provide input on marketing effectiveness.
Social media engagement on Meta (Facebook/Instagram) and Google.
Qualifications
Minimum 1 year experience in a medical front office role (experience in a growing or multispecialty practice preferred).
Strong skills in insurance verification, scheduling, and EMR documentation required.
Excellent customer service and communication skills--both in person and over the phone.
Experience using a VoIP phone system and EMR (experience with Practice Fusion preferred but not required).
Demonstrated experience in medical office marketing, referral development, or patient outreach, with measurable results and references to support performance.
Detail-oriented, organized, and comfortable multitasking in a dynamic environment.
Team player who takes initiative and values professionalism and reliability.
Schedule
Part-time: 3 days per week (18 hours)
Days/Hours: Flexible within standard weekday office hours (no weekends, no major holidays)
Hours will increase as the practice continues to grow
