Physical Medicine & Rehabilitation

Pain Management

. We are dedicated to providing exceptional, coordinated care to patients dealing with injuries, with a strong emphasis on maximizing recovery under personal injury coverage. We are building our foundational team and seeking an ambitious, highly skilled, and reliable professional to manage our billing operations and oversee our new office's daily administration.

Office Manager

or

Billing Team Leader

position, offering the potential to lead and train future administrative staff.

Key Responsibilities



1. Medical Billing and Claims Management (Core Focus)



Personal Injury Expertise:

Manage the entire revenue cycle for complex personal injury cases, including

aggressive AR follow-up

and denial management:

New York Workers' Compensation (NY WC):

Deep proficiency in claim submission, follow-up, appeal processes, and understanding of the NY WC fee schedule, specifically for rehab and pain procedures (e.g., physical therapy, injections, EMGs).

New York No-Fault (NY NF):

Expert knowledge of initial claims, denial management (e.g., NF-10s), arbitrations, and all relevant state regulations for authorized services.

New Jersey Personal Injury Protection (NJ PIP):

Competence in submitting and tracking claims specific to New Jersey's auto insurance system.

Prior Authorization:

Expertly manage the end-to-end prior authorization process, which will be frequent in this specialty, ensuring timely approval for procedures, durable medical equipment (DME), high-cost medications, and specific diagnostic studies (e.g., MRIs).

RCM Oversight:

Oversee accurate charge entry, claim scrubbing, electronic/paper claim submissions, payment posting, and ensure high collection rates across all payer types (commercial, Medicare, etc.).

2. Office Management and Administration



Day-to-Day Operations:

Serve as the primary point of contact for all administrative functions, ensuring the office runs smoothly and efficiently.

Patient Flow:

Establish and maintain efficient processes for patient intake, scheduling, check-in/check-out, and accurate patient record management (EMR/EHR).

Vendor and Supply Management:

Oversee the ordering of medical and office supplies and liaise with key service vendors (e.g., EMR support).

Compliance:

Ensure administrative and billing processes adhere strictly to all regulations, including

HIPAA

and state-specific billing rules for NY and NJ.

Qualifications and Skills



Minimum of 3+ years

of direct experience in medical billing, with a

heavy, demonstrated expertise

in

New York Workers' Compensation, New York No-Fault, and New Jersey PIP

.

Proven track record

of successfully managing prior authorizations for Rehab and Pain Management services.

Proficiency

with standard Electronic Medical Records (EMR) and Practice Management (PM) software. Exceptional organizational skills, a strong ability to multitask, and meticulous attention to detail. Self-starter with the ability to work independently and establish efficient office systems from the ground up.
