The Clinical Medical Assistant / Infusion Coordinator supports both clinical and administrative functions within the Allergy, Asthma & Immunology division and the Ambulatory Infusion Center. This role ensures seamless patient flow, accurate documentation, and coordination of infusion therapy logistics, while maintaining a high standard of compassionate, patient-centered care.
Primary Responsibilities:
Clinical Responsibilities:
Room patients and perform clinical intake including vitals, past medical history, medication reconciliation, and allergy review.
Administer injections (IM and SubQ), skin testing, and point-of-care testing.
Perform pulmonary function testing and breathing evaluations.
Monitor patient response during infusion, and assist RN as needed.
Notify RN of abnormal vitals or patient concerns.
Update medication lists and infusion consents.
Process labs and assist with any in-office procedures ordered by the provider.
Ensure exam and infusion rooms are clean, stocked, and prepared.
Infusion-Specific Duties:
Greet and check in infusion patients using Phreesia/Greenway/WeInfuse.
Verify insurance eligibility and ensure active authorization prior to infusion.
Confirm infusion consents are current and scanned into EMR.
Pull and reconcile infusion drugs per schedule; monitor specialty drug deliveries.
Maintain drug inventory logs; perform weekly and month-end hard counts.
Ensure patients have the next 3 infusion appointments and appropriate follow-ups scheduled.
If required follow-ups are not scheduled, hold future infusions and notify patient accordingly.
Submit daily close report and save to H drive.
Maintain calibration, refrigerator temp, oxygen, and biohazard logs.
Patient Communication & Education:
Communicate test results, follow-up instructions, and provider messages via phone and portal.
Respond to patient inquiries post-visit regarding treatment plans and next steps.
Contact canceled/no-show patients to reschedule.
Educate patients about procedures, medications, and follow-up expectations.
Administrative Responsibilities:
Enter provider orders (labs, imaging, prescriptions, referrals) into EMR.
Schedule follow-ups and complete check-out process for clinic visits.
Handle prior authorizations and medication refills.
Fax documents to external providers and document in EMR accordingly.
Maintain documentation and charging accuracy in the electronic health record.
Monitor and respond to clinic emails, phone calls, and internal tasks throughout the day.
Attend regular team meetings and complete ongoing training as required.
Skills & Qualifications:
Clinical experience with immunizations, injections, phlebotomy (preferred), and pulmonary function testing.
Knowledge of electronic medical records (Greenway, WeInfuse, etc.)
Ability to interpret and transcribe medical information using appropriate terminology.
Strong organizational, communication, and time management skills.
Demonstrated ability to adapt in a fast-paced and evolving clinical environment.
Excellent team collaboration and patient service skills.
Familiarity with HIPAA, OSHA, and infection control practices.
