Position Summary
The Medical Administrative Specialist plays an essential role in patient access and smooth clinic operations. This position manages scheduling, patient communication, insurance coordination, and day-to-day billing tasks while providing a welcoming and supportive experience for our patients. Your work directly supports the clinic's mission by ensuring every patient can access the services they need.
Primary Responsibilities
Scheduling & Front Office
Manage all patient scheduling, rescheduling, and appointment reminders.
Maintain clinicians' calendars and optimize schedule flow.
Greet patients and caregivers and assist with check-in and general inquiries.
Complete patient intake, including demographics, insurance details, and required forms.
Collect and post copays, coinsurance, and patient balances.
Communicate clearly and compassionately regarding appointments, insurance questions, and clinic policies.
Billing & Revenue Cycle
Coordinate with our billing partner to verify patient insurance coverage, including therapy benefits, visit limits, and any required authorizations.
Accurately enter charges into Prompt EMR and ensure clinicians have the information needed for correct coding.
Work with the billing agency to prepare and submit clean claims through Prompt EMR.
Collaborate with the billing team to resolve claim issues, including rejections or missing information.
Record and reconcile patient and insurance payments within the EMR and flag discrepancies for billing review.
Support the billing partner by helping track accounts receivable and identifying patient balances that need follow-up.
Communicate with insurance carriers to obtain benefit information, clarify claim status, or correct account details as needed.
Maintain strict HIPAA compliance and payer documentation standards in all administrative and billing-related tasks.
Qualifications
Required:
Strong communication skills, professionalism, and patient-centered customer service.
Ability to multitask, manage details, and stay organized in a dynamic environment.
Familiarity with insurance terminology (copays, deductibles, authorizations, EOBs).
Comfort working independently and as part of a small, collaborative team.
Preferred:
Prior experience in a medical administrative, scheduling, or billing role.
Experience using Prompt EMR
Experience in a physical therapy, outpatient rehab, or similar clinic setting.
Work Environment & Schedule
32-40 hour work week
PTO provided

Role is onsite at our Bend clinic, with occasional remote administrative tasks possible
