Job Description

The Leasing Transaction Coordinator supports the Marketing and Leasing Coordination Manager in executing all aspects of the leasing process, from initial tours to signed leases and resident move-ins. This position requires strong organizational skills, attention to detail, and a proactive approach to managing timelines and communication.

The ideal candidate is highly professional, comfortable working weekends for property tours and community events, and passionate about providing a positive experience for every resident and prospect.

Leasing Management:



Conduct weekday and weekend property tours for prospective residents. Communicate community features, pricing, and availability clearly and confidently. Follow up promptly with all leads and maintain accurate tracking through CRM systems. Collaborate with the Marketing and Leasing Coordination Manager to meet occupancy and retention goals. Manage application process of each prospective resident Professionally present the community and apartments, explaining specific amenities, features and benefits; and answering questions and related concerns. Correctly complete all lease applications, assist with application verification, and notify prospective resident of results in a timely manner. Follow all Rental Access and Fair Housing protocols and rules and regulations. Prepare leasing reports on a quarterly basis Assist in the preparation of move-ins such as apartment walkthroughs, preparing move-in gifts, preparing move-in packages (including keys, passes, etc.). Coordinate all showing appointments with Leasing Manager. Complete all communications with prospective residents to ensure a consistent and effective apartment showing process and experience for all potential residents. Contribute ideas for improving resident satisfaction to the Brand Manager and Resident Service Manager Participate in monthly property renewal program with informative letters, friendly telephone calls, and/or other means of encouraging communication as needed to increase resident retention. Process rental applications, verifying employment, income, credit, and rental history. Maintain compliance with all Fair Housing, Rental Access, and Equal Opportunity regulations. Ensure applications are handled with accuracy, efficiency, and confidentiality. Track approvals, denials, and pending files, ensuring timely communication to applicants. Draft and send digital lease agreements for signature. Verify all lease documentation is accurate and fully executed prior to move-in. Track renewal timelines and coordinate lease extensions and rate adjustments. Maintain organized electronic files of all leasing and resident documentation.

Skills



Ability to manage multiple projects of various size, complexity and stages of development, construction, and renovation. Strong time management, leadership, and decision-making skills with the ability to delegate and negotiate. Organization for day-to-day and long-term planning and execution, and to track and maintain complex schedules effectively. Strong attention to detail Excellent written and oral communication skills, including the ability to effectively communicate via written letter and Email.

Minimum Qualifications



Minimum 1 - 3 years of experience in leasing, property management or real estate transactions Experience overseeing / managing multifamily and commercial development projects. Excellent communication, organizational, and time-management skills. Weekend availability required. Ability to handle multiple projects with attention to detail and follow-through. Proficient in Microsoft Office, Google Workspace, and leasing software (Yardi, Rent Manager, or similar). Driver's License and Vehicle Needed

Bonus Qualifications



Bachelor's degree Experience with Philadelphia's Eclipse System Experience with graphic design Experience with Rent Manager Knowledge of the Building Code and Regulation Realtor License / Real Estate License Knowledge of Social Media and Leasing Marketing programs, such as Zillow, Apartments.com, etc. Property Management License / Certification Project Management Professional (PMP) certification or Professional Engineer License Bi-lingual

Salary and Benefits:



Salary Range commensurate with experience: $40,000 to $45,000 per Year 10 Days of Personal Time Off (PTO) A company owned computer purchased solely for Employee will be provided.
