The Process and Systems Manager is responsible for supporting and leading Lean transformation initiatives throughout University of Chicago Medical Center. Under direction of Assistant Director of Supply Chain Operations & Transformation, this position is responsible for the overall planning, management, completion, implementation of supply chain system related projects on a wide variety of business units and programs. This position implements and supports actions that are developed to reduce variation, eliminate waste, and improve the experience of patients, physicians and caregivers. The Process and Systems Manager manages departmental metrics and serves as primary liaison for Supply Chain Operations system initiatives. Work with customers to develop project scope of work documents and project plans. Uses project management skills to manage project roles, identify resource requirements, meet training needs, define project deliverables, provides customer satisfaction and reporting structures and insure quality of projects. This position will use lean management techniques, and data driven decisions to assist in the redesign of the supply chain processes including implementation of JIT, Kanban, and RFID technology. This position will also have responsibility for assisting in the redesign and implementation of a campus wide logistical program to reduce cycle times and improve material flow and inventory accuracy while optimizing on-hand inventory.
The Process and Systems Manager will develop optimal, best in class supply chain practices and standardize them throughout the health system. The Manager will use Lean and Six Sigma tools, Data Analytics and knowledge of Inventory Management Systems in the creation of these processes.
Essential Functions and Responsibilities
Maintains and improves system for gathering and analyzing realistic, accurate and reliable data and use it to monitor performance using Statistical Process Control. Utilize Lean tools including process mapping, Kaizen, Failure Mode and Effects Analysis (FMEA), etc. to improve productivity and service levels. Develop analytics to identify areas for improvement and change. Creates and maintains dashboards in Tableau to visualize performance indicators for multiple teams that drive efficiency improvements throughout Supply Chain.
Assigns, schedules, trains, reviews, and monitors project work to ensure that progress is within expected guidelines and is completed on time and within budget. Mentors and provides expertise to other project team members. Provides leadership, coaching and training in lean thinking and problem solving. Supports and drives compliance to organizational lean standards.
Evaluates and recommends new technologies and systems to improve productivity and service levels. Develops business case presentations and action plans to drive optimization; including targeting recommendations, test design and cost/benefit analysis. Serves as technical engineering point of contact (Subject Matter Expert) for operations. Support Inventory optimization activities to reduce total cost of ownership using inventory modeling.
In collaboration with senior management and clinical leadership, assists in establishing standards and strategic initiatives to support organizational patient care goals. With leadership, participates in establishing standards for quality, safety, regulatory, and service. Creates and manages processes which contribute to continual performance improvement.
Leads the efforts in designing campus wide logistical program, logistical planning and implementation of processes to improve and enhance material flow.
Reviews, monitors and documents employee performance and regularly provides feedback related to achievement of established organizational and departmental goals. Meets regularly with other departments and direct reports to facilitate communication, goal setting and decision making.
Assists with development and implementation of policies and management/operational structures to ensure continuous quality care, patient access, customer service excellence. * Other Duties as assigned.
Qualifications
Industrial Engineering or other relevant engineering degree required, Master's Degree preferred.
Requires (4) years of previous job-related experience in supply chain and lean manufacturing/Process Improvement background. Prefer a minimum of (5) years of experience and lean manufacturing/Process Improvement background.
Tableau or equivalent - Proficient in ETL, design, develop and deploy dashboards.
Demonstrate ability to query, transform, analyze, and interpret large data sets and deliver actionable analysis to Operational Teams.
2 years' experience administrating/managing Helios Inventory Management System and At-Par Delivery Tracking System or equivalent.
Formal Lean/CI/Green Belt Certification required/Black Belt Certification preferred.
Project Management experience with leading Cross Functional Teams.
Requires high level of adaptability and interpersonal skills.
