Management Analyst III: $4,690 per month, $56,280 per year, SR-20, BU:13

The Management Analyst position offers an opportunity for professional growth in a dynamic healthcare setting with progressive strategic plans and goals. The function of the Housekeeping Department is to provide analytical services as primary work assignment, clerical, and related services to the Environmental Services and Laundry Superintendent.

JOB DUTIES:
Management Analyst
  • Monitors, assigns, and updates tickets, assets, and projects in the computerized Environmental Services Ticketing system. Is able to create dashboards and reports from Environmental Services Ticketing system for productivity and tracking.
  • Create daily assignments for staff and maintain these assignments within ES Optimizer Software
  • Utilize ES Optimizer Software for daily operation needs.
  • Maintains and updates assigned monthly reports, meeting minutes, meeting agendas, and other shared reports used for quality and financial improvement.
  • Prepares accounts payable invoices for signature by the Environmental Services and Laundry Superintendent by including the cost center, sub-account and contract (or purchase order) number on each invoice prior to submission. Researches and resolves invoice discrepancies when necessary.
  • Responsible for reviewing, analyzing, evaluating, developing, advising on, or promoting improvement in managerial policies, practices, methods, procedures and/or organizational structure, including: program objectives, work distribution, the assignment of functions and responsibilities; work methods and procedures; management control systems.
  • Presents simple analyses of data to Environmental Services and Laundry Superintendent, designee(s) or department heads to include budgeting and forecasting.
  • Assists and manages small to medium scale projects as a project lead.
  • Compiles and maintains department statistical records as provided by the EVS Superintendent, EVS Supervisor and/or Laundry Manager. Provides reports based on compilation of said statistical records at regular intervals.
  • Oversees general office maintenance needs and relates problems to appropriate person/department.
  • Works cooperatively with other staff members, departments and outside services.
  • Performs EVS department managerial duties as assigned.
Data Collection and Reporting
  • Assists with the preparation of data presentations and the components of the presentation including graphical representation(s) of information, based on target audience
  • Create, maintain, and distribute daily, weekly, monthly, quarterly, or annual data reports to the appropriate managers and staff to ensure that they receive feedback regarding the performance of their daily work, projects, and budgets.
  • Assists with product ordering for EVS Department, Laundry Department, , and other departments as assigned.
  • Responsible for obtaining, comparing and presenting price quotations for tools, equipment, supplies and vendors to department management.
  • Assists with annual budget analysis and creation as assigned for areas under assigned Environmental Services and Laundry Superintendent.
Other Duties
  • Provide oversight on small to medium scale projects as assigned in collaboration with EVS and Laundry Team.
  • Develop, program and implement, department or program projects to increase staff capabilities; decrease operational costs; improve administrative policies, procedures, practices and controls; and to achieve other specific objectives as desirable.
  • Maintains the strictest confidentiality of all patient, facility and employee information.
  • Attends and participates in training sessions and meetings as assigned by the EVS and Laundry Superintendent.
  • Follows all applicable rules, policies, laws, regulations and accreditation requirements.
  • Works cooperatively with other staff members, departments and outside agencies.
  • Obtain monthly staff schedules for each modality from the appropriate supervisors.
  • Input staff schedules into UKG system by the required dates per the Payroll Department.
  • Schedules meeting as directed by the EVS and Laundry Superintendent, EVS Supervisor and Laundry Manager. Records and maintains meeting minutes.
  • Adheres to safety/infection control policies and procedures
EDUCATION:

Bachelor\xe2\x80\x99s degree from a four (4) year accredited college or university.

Excess experience of the type and quality described below, or any administrative, professional, technical, or other responsible work which required a high degree of analytical skill may be substituted for education on a year-for-year basis.

General Experience: Work involving the analysis and evaluation of managerial policies, systems, methods and practices in the development and/or improvement of same.

Specialized Experience: Management analysis experience; (i.e., experience in conducting organizational analyses, work measurement/methods studies, management information systems design and evaluation, and management surveys in order to identify problem areas and develop recommendations for improving the economy, efficiency and effectiveness of a given operation through the proper application of sound methods, principles and practices of management).

Substitutions Allowed:

1. Excess Specialized Experience of the type and quality described above may be substituted for General Experience on a year-for-year basis.

2. Satisfactory completion of all academic requirements for a master\'s degree with specialization in management, public administration, or a related field, which provided knowledge of the principles, practices, techniques and methodologies of management, may be substituted for six (6) months of Specialized Experience.

3. Satisfactory completion of all academic requirements for a Ph.D. degree as described above may be substituted for one and one-half (1-1/2) years of Specialized Experience.

MEDICAL EXAMINATION REQUIREMENT: Offers of employment will be contingent on successfully passing a pre-employment examination, which includes drug screen and other regulatory medical requirements such as, but not limited to, a tuberculosis (TB) screen. The cost for drug screening and blood draw for QuantiFERON and Titers, shall be borne by the Hawaii Health Systems Corporation.
