to provide essential operational support across our property portfolio. This person will be a hybrid role: part office administrator, part maintenance liaison. You will coordinate day?to?day repairs and upkeep, interact with tenants, vendors, and owners, and help with office functions. You and our Property Manager are often the "face" of the company, so professionalism, responsiveness, and strong communication are key.
Time & Schedule
Standard office hours, Monday- Friday (you should be available any time the office is open)
Included in the
on-call rotation
for after-hours emergencies and weekend needs
Overtime as needed (depending on repair emergencies)
Compensation
Hourly wage $21-23 DOE

Answer and route phone calls (aim to answer by 3rd ring)
Manage tenant communications: voicemails, emails, inquiries
Receive and receipt rent payments as needed
Maintain internal communications (staff, calendar, messages)
Draft letters, prepare documents, scan incoming mail
Process tenant move-out paperwork
Schedule and conduct property showings
Maintain and update Outlook emails and calendar
Assist property manager with admin support
Be part of the on-call rotation, responding to emergencies as needed
B. Maintenance Coordination
Confirm owner instructions / approval before scheduling work
Collaborate daily with the Property Manager on repair status
Create and update maintenance schedules
Solicit and review bids from vendors / contractors
Follow up on vendor invoices; verify work completion
Schedule vendors appropriately (prioritize, coordinate access, etc.)
Enter, update, and manage work orders in
AppFolio
and
Service Fusion
(or equivalent software)
Track and plan for future maintenance work per vendor recommendations
Follow up with tenants to confirm satisfaction after repair is completed
Conduct routine inspections (annual, move-outs)
Communicate needed work or significant issues with property owners
C. Vendor & Contractor Management
Verify contractors' licensing (e.g. with Construction Contractor's Board)
Ensure all vendor insurance certificates are current and on file
Update vendor insurance info in AppFolio
Scan and file vendor correspondence
Maintain strong relationships with existing vendors
Proactively identify and onboard new vendors
Ensure vendors have appropriate unit access credentials
Monitor vendor performance and quality
Required Qualifications & Skills
High school diploma or equivalent (post-secondary education is a plus)
Prior experience in property management, maintenance coordination, or similar field
Proficiency with property management software (AppFolio, Service Fusion, or equivalent)
Strong organizational skills, attention to detail
Effective written and verbal communication
Ability to prioritize and manage multiple tasks
Customer service orientation (tenants, owners, vendors)
Basic project and vendor management skills
Comfort with learning and using digital tools (email, calendaring, document management)
A professional, courteous demeanor -- you are a representative of our company
Preferred / Nice-to-Have
Prior experience doing inspections, preventative maintenance, or light handyman tasks
Familiarity with local licensing, building codes, and landlord/tenant laws
Experience with vendor contracting, procurement, or insurance review
Previous experience in real estate, property management, or similar
Ability to work independently and proactively
Basic understanding of budgeting or cost control
Working Conditions & Physical Requirements
Work typically splits between offices, field visits, and properties
Occasional lifting up to 25-50 lbs (moving equipment, supplies, signage)
Walking, climbing stairs, access to units (sometimes difficult access)
Business casual dress; field?appropriate attire when inspecting properties
Some weekend/emergency response required
