The Maintenance Manager is a key leadership role that ensures our homes stay in perfect condition for every guest and owner stay.
Position Summary
The Maintenance Manager oversees all day-to-day maintenance operations for Ember Stays homes, including routine inspections, preventative maintenance, work order management, vendor coordination, emergency response, and support for the cleaning and linen teams. This role ensures that every home meets Ember's quality, safety, and brand standards--every time.
You'll lead a small team of in-house maintenance techs and vendor partners, manage property-specific maintenance budgets, and strengthen our operational playbook across the region.
Key Responsibilities
Team Leadership
Lead, train, schedule, and support maintenance technicians and field staff.
Oversee daily work assignments, prioritization, and quality control.
Provide coaching and performance feedback using Ember's KPIs (completion rate, response time, first-time fix rate, quality ratings).
Enforce safety, compliance, and tool/equipment protocols.
Maintenance Operations
Manage and respond to maintenance tickets
Perform or coordinate repairs across HVAC, plumbing, electrical, appliances, pools/spas, doors/locks, smart home systems, and general home systems.
Conduct routine and pre-arrival inspections to ensure all homes meet brand standards.
Oversee preventative maintenance schedules (filters, water heaters, HVAC, softeners, smoke/CO detectors, landscaping systems, pool/spa systems, etc.).
Support cleaners with issues discovered during cleans (broken items, wear/tear, missing inventory).
Manage inventory of maintenance supplies, tools, replacement parts, and consumables.
Vendor & Partner Management
Build and maintain relationships with electricians, plumbers, HVAC partners, pool techs, appliance repair vendors, locksmiths, etc.
Source and negotiate pricing for repair or install work when needed.
Schedule and supervise outside vendors; ensure work meets quality standards.
Manage warranty claims and manufacturer service requests.
Property Quality & Standards
Ensure every property meets Ember's hospitality-quality standards before each guest or owner arrival.
Perform condition assessments and track asset lifecycle for major systems.
Identify recurring issues, root causes, and implement long-term solutions.
Enforce Ember's maintenance SOPs across all properties.
Communication & Coordination
Serve as the primary liaison between maintenance, housekeeping, home managers, and operations leadership.
Communicate clearly regarding issues, statuses, and follow-ups.
Update property notes and maintenance logs accurately and consistently.
Assist with emergency support after hours when needed (rotating on-call).
Budgeting & Reporting
Track and manage property-level maintenance costs according to approved budgets.
Review and code invoices, vendor bills, and supply purchases.
Report on key metrics: ticket volume, completion rate, SLAs, and cost per home.
Recommend cost-efficient solutions and operational improvements.
Qualifications
Required
3-5+ years experience in property maintenance, facilities management, hospitality operations, or similar.
Strong working knowledge of home systems (HVAC, plumbing, electrical, appliances, pools/spas).
Hands-on technical abilities: basic repairs, troubleshooting, tools, diagnostics.
Experience managing a small team or leading field technicians.
Comfortable using technology
Strong communication skills and an ability to prioritize in a fast-paced environment.
Valid driver's license; reliable transportation.
Preferred
Experience in short-term rental, hotel, or vacation rental management.
Understanding of building codes, safety standards, and basic compliance.
Experience with smart home systems (e.g., Lutron, Yale/Schlage locks, thermostats, routers).
Ability to read and interpret manuals, warranties, and system documentation.
Work Environment
Primarily field-based: moving between Ember properties daily.
Some office time required for reporting, scheduling, and coordination.
Ability to lift up to 50 lbs and perform physical tasks as needed.
Occasional after-hours or weekend availability for urgent matters or on-call rotation.
