Job Title: Maintenance Coordinator

Job Type: Part-Time, 20-30 hours per week

Pay: $18-$22 per hour DOE

Location:

Hybrid. In person inspections required at properties and some in person time required for team meetings and projects. Typically general administrative parts of the job will be able to be done remotely for part of the week if desired. Office location currently is Sheridan.

We are a small, locally owned Property Management company that is actively

growing and expanding. Propagate Property Management is searching for someone who wants

to grow right alongside us! We manage a portfolio of about 100 doors and plan to continue to grow, which has led us to be ready to hire for our Maintenance & Inspection Coordinator (not a professional home inspector, no previous experience required)

Specific property management experience is not required. A general understanding of home repair is preferred but not required. It is far more crucial that this person be ready and excited to learn in order to perform initial troubleshooting assistance via pre-written processes and scripts. There is an immense amount of knowledge and information to learn in a company/job like this. Therefore it is crucial that this person be ready for the excitement of this challenge!

It is also crucial in this position that the individual upholds confidentiality of our clients and tenants.

The candidate should embody the following skills and attributes:

Excellent written and verbal communication. Extensive e-mail and phone communication required daily. Ability to keep track of multiple tasks, work orders and projects simultaneously Ability to learn required software and technology Strong accountability and ability to take ownership of tasks Strong attention to detail and ability to observe details Excellent customer service skills Excellent in person communication Ability to adapt to changes Excellent interpersonal skills and empathy- as you will be spending some time in occupied homes Comfortable learning and using smartphone apps for photos, notes and sending reports Comfortable standing on step ladder for checking alarms / replacing light bulbs Ability to work independently & prioritize schedule Reliable transportation required Clean driving record and fully insurable Clear criminal background
Regular duties, include but are not limited to the following -

Daily Tasks:



Review new maintenance requests Conduct initial troubleshooting Make progress/check-in on open work orders while making notes Flag urgent/safety related work orders for escalation Assign and schedule appropriate vendors Remind tenants/vendors of work order appointments Close maintenance requests once completed Open maintenance requests based on inspection results Communicate with owners regarding larger repairs in accordance with property management agreements Collect post-completion feedback and document outcomes Maintain accurate maintenance records in RentVine, Google Drive and LeadSimple

Weekly Tasks:



Assist in property turnovers Track inspections (inspection schedules, inspection reminders) Perform inspections (move-in, move-out, and periodic inspections) Take detailed photos and notes in the inspection software/report Coordinate follow up visits if needed and flag recurring issues

Monthly Tasks



Coordinate preventative maintenance Prepare maintenance reports Track and monitor repairs or replacements needed on major home systems Onboard new vendors Audit existing vendors for appropriate licenses and insurance Identify deferred maintenance risks

Periodic/As- Needed Tasks



Coordinate emergency maintenance response Cover Emergency Maintenance Line Support in insurance claim repairs Educate and train residents on proper maintenance reporting Participate in owner walkthroughs/additional inspections

Mileage reimbursement provided Somewhat flexible hours, but M-F required. To be discussed further at interview stage Potential for company car usage Laptop provided No PTO, Paid Holidays or Health Insurance provided.
