The Maintenance Coordinator plays a key role in ensuring timely, efficient, and high-quality maintenance and repairs across our managed portfolio. This position serves as the central hub between tenants, property owners, vendors, and management staff balancing customer service, cost control, and compliance with company standards and state/local regulations.
Key Responsibilities
Receive, review, and prioritize all maintenance requests from tenants and property managers via phone, email, or portal.
Dispatch approved vendors promptly, ensuring appropriate licensing, insurance, and W-9 documentation are on file.
Coordinate maintenance scheduling between tenants, vendors, and owners; follow up until completion.
Create, update, and close work orders in the property management system with detailed notes and cost tracking.
Review vendor invoices for accuracy, proper job completion, and alignment with owner-approved budgets.
Communicate repair estimates and recommendations to property managers or owners for approval.
Track recurring maintenance items (HVAC servicing, pest control, annual inspections, etc.) and ensure timely completion.
Maintain vendor relationships--monitor performance, negotiate pricing, and ensure compliance with company standards.
Support the property management team with move-in/move-out inspections, maintenance coordination, and deposit reconciliations.
Quarterly drive-bys of the properties
Qualifications
Experience
: Minimum 2 years in property management, facilities coordination, or maintenance dispatch.
Knowledge
: Familiarity with residential and/or commercial building systems (plumbing, electrical, HVAC, etc.).
Software
: Experience with Appfolio.

Additional Requirements
Must have a valid driver's license and reliable transportation.
Availability for rotating after-hours emergency calls.
Comfortable working in a fast-paced environment with frequent interruptions.
