The Logistics Order Coordinator supports daily logistics and retail order execution by ensuring accurate order flow, shipment coordination, and system alignment from order receipt through shipment confirmation. This role serves as a key execution link between retail customer portals, internal sales, warehouse, and dispatch teams to ensure timely, accurate, and compliant shipments.
Key Responsibilities
Order & System Coordination
Download, review, and monitor customer orders from retail portals and internal systems
Accurately enter and maintain order data within the company's operating system
Verify consistency between customer portals, internal records, and shipping documentation
Generate manual purchase orders when required due to inventory or allocation changes
Shipment & Logistics Support
Prepare and transmit Advance Ship Notices (ASNs) and shipment confirmations to retail customers
Create and distribute daily shipping lists to dispatch and warehouse teams
Coordinate with warehouse and dispatch to confirm ship dates, load details, and shipment status
Communicate order changes, delays, or exceptions to internal stakeholders in a timely manner
Communication & Documentation
Notify the sales team of scheduled shipments, changes, or customer-driven updates
Maintain organized digital records of orders, confirmations, and related communications
Support daily and weekly order activity summaries as requested by management
Accuracy & Compliance
Ensure orders and shipments follow customer requirements and internal procedures
Identify discrepancies or issues and escalate to appropriate leadership for resolution
Support consistency and accuracy across logistics and order execution workflows
Qualifications
High school diploma or equivalent required; associate's degree preferred
1-3 years of experience in logistics coordination, order entry, customer service, or a related role
Strong data-entry accuracy and attention to detail
Ability to learn and navigate multiple systems and customer portals
Clear written and verbal communication skills
Bilingual (English/Spanish) preferred but not required
