This position is eligible for an employee referral incentive payment of $1,000.00 (conditions apply). POSITION SUMMARY:
Under the supervision of the Executive Office Manager and the Director of Government Affairs, the Executive Assistant is responsible for the highest-level administrative support for the Government Affairs Unit and the Communications Unit. This position will also serve as back-up administrative support for the Administrative Director and Deputy Director of the Administrative Office of the Courts, as well as the advanced administrative support needed by the Executive Office Manager. This position is responsible for coordinating arrangements for staff meetings, committee meetings, and legislative meetings to include rooms assignments, setup, equipment, refreshments, minutes, and travel arrangements. Other duties include: providing backup support to the Director and Deputy Director as needed; heavy phone contact with legislators, legislative staff, Judicial Suites, AOC Division staff, other government officials, and lobbyists to coordinate and schedule meetings regarding legislative proposals, pending legislation, and other governmental issues; scheduling and formatting of summaries under the supervision of the Government Affairs staff for weekly legislative teleconferences, and maintaining the online Court Directory for Court Personnel Statewide. This position will also coordinate and assist with intern and extern recruiting efforts, prepare graphic art material, coordinate the receipt of bills and other legislative documents, prepare and finalize Lobbyist Reports on a quarterly and annual basis, and attend legislative meetings. Additionally, this position will provide advanced support to the Communications Unit to include special projects, overflow work, judicial events; as well as social media planning and execution. This position will also provide support and or serve as the back up to the Executive Office Manager in preparation of meeting materials. This position may be eligible for a hybrid-telework schedule once the employee has sufficiently proved their ability to perform assigned tasks. Public Service Loan Forgiveness (PSLF) Program qualified employer. MINIMUM REQUIREMENTS:
The successful candidate must have a high school diploma or GED equivalent plus five years of increasingly responsible and high-level secretarial experience in a full-function office, or relevant legislative training and experience. Other requirements include: excellent grammar and spelling skills, excellent verbal and written communication skills; the ability to treat sensitive information in a confidential manner; extensive knowledge of software to include: Word, Outlook, Excel, Adobe Acrobat, and PowerPoint; basic knowledge of web design and posting, and HTML training; skills in responding to court, agency personnel, government officials, and public with tact, diplomacy, professionalism, and appropriateness; ability to multi-task and complete detailed work in a timely manner, free of errors.
