Position Brief:




The

Leasing Agent

presents and leases properties to prospective lessees. The goal is to scout potential clients, turn them into Residents, and achieve high occupancy rates.


Acting as the Westland's representative on-site makes this a key position, where the primary duties are to greet clients, to professionally present all features and benefits of their assigned community, and properly secure lease agreements from qualified prospective residents. It is extremely important for us that our Leasing Agents be customer service oriented and strive to make current residents feel welcome in their community and comfortable in their home.


Essential Basic Requirement:




Experience:




General office, customer service, and sales skills. Computer literate, including

Google Suites

and other various operational programs; Knowledge on

Entrata

a plus. Ability to read and interpret documents such as Rental Application, Rental Agreement, Policies and Procedures, Resident Rules and Regulations, Safety Rules, Maintenance Instructions, and Procedural Manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees. Ability to calculate figures and amounts such as discounts, commissions, prorations, and percentages. 1 - 2 years Leasing Agent experience a Must.

Education:




High school diploma or general education degree (GED); B.A. is preferred

Leasing Agent II should have more customer service experience and be able to handle irate customers without a supervisor.

Job Duties and Responsibilities:




Administrative




Meet and greet prospective residents; Determine customer's needs and preferences, and professionally present community and unit while communicating benefits of features and amenities; Conduct tours of community and show units. Explain rental criteria and determine if the Prospects meet requirements prior to applying. Prepare and execute Lease Agreements in accordance with Westland Real Estate Group's property standards and State regulations. (for Leasing Agent II position a minimum of 10 new leases a month are required on a consistent basis) Fully informed of current rental rates, sizes, locations and all amenities of property. Responsible for maintaining work areas and office in clean and orderly manner. Responsible for ensuring model unit is clean and presentable. Responsible for proper upkeep of all prospective rental applications, resident and property files. Assist level I Leasing Agents in understanding the Westland criteria, application process and file maintenance. Review and accept completed rental application. Conduct credit checks, rental verifications, employment verifications to qualify potential renters according to Westland's criteria. (Level II Leasing Agent is expected to process through more applications accurately, efficiently and consistently) Conduct all business in accordance with Westland Real Estate Group's policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act and all other Federal and State laws.

Resident Acquisition and Retention




Responsible for maintaining a professional appearance and attitude at all times. Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments. (Level II Leasing Agent is expected to be able to handle more Resident issues without assistance than a Level 1 Agent) Determine the needs, living standards and economic viability of prospect customers. Promptly submit maintenance Service Request and inform the maintenance team. Answer questions for residents about community, repairs, rent, rules, etc.; Follow up on a timely basis if unable to respond to residents on all matters. Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests on a weekly basis; Ensure proper maintenance and inspect properties periodically (Level II Leasing Agent is expected to assist in closing of work orders according to Westland standards) Ensure apartment is ready for resident's use upon agreed move-in date Stay knowledgeable of the property's market status Provide information to existing and prospective Residents on all aspects of properties (expansions, zoning, etc.) Negotiate leasing terms and conditions Collect application fees, security deposits and rent payments in a timely manner Inform residents of any changes to the Rental Agreement or upcoming problems with the property, using Westland Real Estate Group's designated forms and procedure checklists Follow up with prospective renters; Using the CRM system used by property to follow up and reach out to prospective Residents on a daily/weekly basis Monitor use of community facilities, including laundry, mail and fitness center Actively coordinate all renewals throughout the month. This includes sending letters (90, 60, 30 days) and scheduling resident appointments to discuss renewal rates and leasing options. (Leasing Agent II expected to be able to negotiate lease renewal terms) Responsible to play an active role in the renewal process Responsible for reporting unusual or extraordinary circumstances regarding the property or residents Responsible for assisting Assistant Manager in collection of delinquent rents. (Leasing Agent II may learn to create 5 day notices. Leasing Agent II should be able to explain the ledger to a Resident.)

Marketing




Participate in outreach marketing activities on a regular basis to obtain prospective residents. Advertise available properties using a variety of media and promoting materials available by Westland Real Estate Group's Marketing Department; Responsible to communicate with Marketing Department at least once per week Post Craigslist ads daily (using Marketing Department materials) Assist in placing, removing/updating banners, balloons, signs, flags, etc. Distribute newsletters, pamphlets, flyers, etc. (this may require extended periods of walking and/or climbing stairs) Conduct market surveys and shop competitive communities either in person or via phone Inspect model units and "market ready" vacancies daily to insure cleanliness Update online advertising to reflect current market pricing on a daily basis Maintain awareness of local market conditions and trends; Contribute ideas to the property manager for marketing community and for improving resident satisfaction. (Leasing Agent II is expected to have better knowledge of competition and have higher input on ideas for promoting property and assisting in Resident satisfaction)
