Summary The Learning Operations Coordinator day-to-day operations and administration of Learning Innovation programs, including but not limited to Alliance Safety Councils signature programs, OSHA Training Institute programs, and ARSC programs. Responsibilities include but are not limited to planning, registration, coordination, and communication of online and instructor-led learning experiences. Supervisory Responsibilities This position requires no supervisory responsibilities. Qualifications The Learning Operations Coordinator is a key member of the Learning Innovation team. This position works to support student and class management processes while adhering to Alliance Safety Councils Fundamentals. As learning and support professional, the Learning Operations Coordinator is responsible for providing guidance, information, and assistance to students as well as internal teams and our training partners. This position is responsible for maintaining optimum enrollment of the courses for which they are responsible, along with coordinating course requirements, reporting, and other administrative tasks. The successful candidate will have 1+ years of experience working in a learning operation or support role. The individual must also demonstrate competence in written and verbal communications, computer skills, multitasking, phone, and email communication, and etiquette. The Learning Operations Coordinator brings strong attention to detail to their role and works well in a team environment with standard processes and tasks. The individual must demonstrate competence in task management prioritization, and problem resolution, along with strong customer service orientation and customer support skills. The individual must demonstrate competency in written and verbal communication skills. This position works both independently and in collaboration with teams across Alliance Safety Council, requiring a high degree of interpersonal skills such as listening and responding, curiosity, checking for understanding, and follow-through. A High school education or equivalent is required; post-high school education in a closely-related field (training and development, human resources, business operations, etc.) is desirable. Essential Functions

  • Provide support to ASC signature programs, OSHA Training Institute programs, and ARSC programs.
  • Work with lead instructor and team to understand current program schedules. Communicate schedule and any updates and changes to ATPs, STPs, and host sites. Add scheduled sessions to applicable websites.
  • Input all registrations and verify payment in the registration system.
  • Maintain accurate student records. Obtain and process rosters. Enter student grades into the database at the end of each class.
  • Make certificates for all on-site and off-site sessions. Ship certificates to offsite locations.
  • Maintain relationships with material vendors and monitor inventory levels of various program materials. Order materials for all sessions as needed.
  • Interface with instructors, ATPs, STPs, and host sites to coordinate all sessions. Ensure all materials are available to instructors, generate class paperwork (sign-in sheets, evaluations, tests, etc), and order food for the class. Coordinate and ship materials as needed.
  • Prepare Alliance Safety Council facility by arranging classrooms, setting out materials, and placing proper signage.
  • Support Customer Solutions with all Tier 2 support cases. Answer student inquiries as required. Consult on safety career paths and advise on which courses would be best suited for the student.
  • Manage special projects such as COSS and COSM Recertification, as assigned.
  • Assist clients as requested with quotes and orders, including special or remote site classes.
  • Other duties/tasks as may be assigned.
Computer Skills
  • Must have 1+ years of experience with learning administration technologies such as scheduling, registration, and learning management software.
  • Must be competent in spreadsheet software such as Microsoft Excel
  • Must be competent in all functions of the standard issued Alliance Safety Council computer software.
Physical Demands While performing the duties of the Learning Operations Coordinator, the employee must be able to withstand performing typical office work, which involves extended periods of sitting at a computer station and performing computer-related work, which generally involves repetitive motion tasks on a computer keyboard and viewing of multiple monitors for prolonged periods. The employee must also be able to stand for extended periods of time, be able to regularly walk, climb, balance, stoop and kneel and must occasionally lift and/or move up to 35 pounds. Mental Demands While performing the duties of the Learning Operations Coordinator, the employee must be able to function in a high-pressure environment and meet stringent deadlines for completing tasks; prioritize work, and meet deadlines in a stressful and fast-paced environment. This employee will work regularly with remote teams, across and outside of the organization. Work Schedule The Learning Operations Coordinator is expected to work Monday through Friday, with the flexibility to work occasionally after-hours and, on very rare occasions, on weekends, as dictated by the program schedule.
