SUMMARY/OBJECTIVE:
A Lead Parts Consultant's supports the daily operations of the parts department, ensuring timely availability and accurate inventory of automotive and equipment parts. This role assists in managing stock levels, processing orders, coordinating with vendors, and providing excellent service to internal teams and external customers. The Lead Parts Consultant will also support the Parts Manager in tracking performance metrics, maintaining records, and implementing best practices to improve efficiency and customer satisfaction. This position is ideal for individuals looking to develop leadership skills and advance in parts management within a fast-paced environment.
ESSENTIAL FUNCTIONS:
Customer Relations
Manage customer relations updating the status of parts, where necessary improving overall customer experience
Handle customer complaints immediately and according to the dealership's guidelines.
Provide expert advice to customers (and potentially technicians) on vehicle parts, acting as the primary point of contact for complex inquiries and issues.
Follow up and expedite critical parts to ensure customer satisfaction.
Communicate effectively with all customers in a manner that reflects positively on oneself, the dealership, and the product we sell.
Operations and Productivity
Works directly with Parts Dispatcher to enhance operational efficiency.
Oversee parts inventory levels, track stock, manage deliveries, and coordinate part pickups.
Provide direction, training, and support to parts consultants and staff to improve overall team performance.
Utilize electronic databases and catalogs to identify correct parts for various vehicles.
Develop processes to minimize at counter time of technician.
Ensure the efficient workflow of parts department operations, including maintaining a clean and organized workspace.
Supervise and ensure department housekeeping, maintenance and safety.
Accurately record parts transactions and data into the company's Dealer Management System (DMS).
Maintain clear communication with internal teams (service technicians, managers)
Assist with stock orders and complete paperwork accurately and on time.
Assist Parts Supervisor in setting policy on special ordering of parts and ensure adherence.
Understand, keep abreast of, and comply with federal, state, and local regulations that may affect parts sales and personnel.
Ensure that all purchases are accurate before payment is made.
Conduct perpetual inventory control.
Act as parts supervisor in their absence.
Manufacturer Relations
Understand and follow parts policies and procedures for parts warranties, etc.
Know and understand all the manufacturer's warranty policy and procedures.
Stay abreast of all dealership policies as it pertains to relationship with manufacturers.
Personnel/Employee Relations
Conduct training to all parts personnel, making sure each is familiar with parts policies and requirements.
Monitor the performance of all assigned parts department staff regularly.
Provide technical assistance to assigned parts department employees
Conduct meetings with assigned parts department employees to discuss activities and problems of mutual interest and to develop strategies for a more efficient operation.
Monitor assigned parts department employee's daily time records.
Implement standards of good housekeeping and insist on cleanliness.

WORK ENVIRONMENT
Work is regularly performed in a combination of office and shop environments and is regularly exposed to dust, odor, oil, fumes, noise, heat, and outdoor elements.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Must be able to lift/carry at least 50 lbs.
POSITION TYPE
This is a full-time, exempt position. Standard days and hours of work are Monday through Friday 7:30 a.m. to 5:30 p.m. and Saturday 8:00 a.m. to 5:00 p.m. Will be given a day off.
EDUCATION AND EXPERIENCE
HS diploma or GED equivalent.
At least 3 years' minimum experience in a parts department.
