Salcines Law, a premier boutique real estate and litigation firm in Coral Gables, is seeking a

Legal Office Administrator

to oversee firm operations and act as the right hand to the Managing Partner.



The

Legal Office Administrator

will work directly with the Managing Partner to manage day-to-day firm operations, oversee department heads, and ensure that every system, process, and person operates efficiently and profitably.



You will serve as the

operational backbone

of the firm -- combining leadership, business acumen, and emotional intelligence to support a high-performing legal team.



This is a

COO-level role

Compensation & Benefits




The firm offers an excellent compensation package, including:

Salary:

$85,000 - $120,000 (commensurate with experience). Performance-based bonuses tied to firm growth and profitability. 401(k) with employer match. Health, dental, and vision insurance. Compensation:


$75,000 - $100,000 yearly

Responsibilities:

Oversee

daily operations

of the law firm, ensuring smooth workflow across all departments, including intake, closings, litigation, marketing, accounting, and HR. Develop, implement, and refine

firm-wide systems and processes

to improve efficiency, profitability, and client satisfaction; manage and improve workflows and technology systems to enhance optimization and client service. Opening client files and uploading to the CRM software. Collaborate with the Managing Partner to establish and monitor

KPIs (Key Performance Indicators)

and ensure accountability across the team. Manage

financial operations

, including budgeting, forecasting, reporting, and vendor payments, in coordination with the firm's accountant. Supervise and coach administrative, paralegal, and support staff -- fostering a culture of excellence, accountability, and professional growth and lead with clarity and compassion. Conduct

regular team meetings

to communicate firm goals, track progress, and ensure alignment with the Managing Partner's vision. Monitor

client experience metrics

and lead initiatives to improve responsiveness, communication, and service quality. Manage

human resources functions

, including hiring, onboarding, training, performance evaluations, and employee retention. Oversee

marketing and business development support

, ensuring consistency in brand messaging and client engagement, and support marketing initiatives and events to strengthen firm visibility and reputation. Coordinate technology needs, including CRMs, case management systems, and other software tools to maintain operational efficiency. Maintain firm

compliance

with legal, ethical, and administrative standards. Act as the

right hand to the Managing Partner

, translating vision into strategy and strategy into execution. Serve as a liaison between ownership, staff, and external partners. Manage

vendor and contractor relationships

, including IT, marketing, and facilities. Prepare and present

monthly performance reports

and recommend data-driven improvements to streamline operations. Uphold and promote the firm's core values.

Qualifications:

Required:



Minimum

5 years of experience

in law firm management, operations, or executive administration. Proven track record in

leadership and team development

within a professional services environment. Strong understanding of

law firm financials

, including budgeting, billing, and profitability metrics.& analysis. Excellent

organizational, strategic planning, and problem-solving

skills. Strong written and verbal

communication and interpersonal

abilities -- capable of motivating and leading diverse teams. High level of

confidentiality, professionalism, and discretion

when handling sensitive information. Tech-savvy and comfortable managing multiple platforms such as

Clio, QuickBooks, Lawmatics, Microsoft Office, and Google Workspace

. Strong ability to

analyze data, set KPIs, and make data-driven decisions

that improve efficiency and performance. Demonstrated ability to

multitask, prioritize, and thrive

in a fast-paced environment. Reliable, self-motivated, and proactive with a focus on solutions, not problems.

Preferred:



Bachelor's or Master's degree

in Business Administration, Management, Finance, or related field. Experience with

EOS / Traction

or other business operating frameworks. Prior experience as a

COO, Firm Administrator, or Executive Director

in a law firm. Familiarity with

real estate, litigation, or transactional law

operations. Bilingual (English/Spanish) is a must.
