Lab Animal Transfer Coordinator

Job Description

Responsible for overseeing, coordinating, and documenting the movement of research animals between internal facilities and external institutions. This role ensures that all transfers comply with institutional policies, IACUC protocols, regulatory requirements, and health status standards. The Coordinator serves as the primary liaison among investigators, veterinary staff, animal care teams, and external partners to ensure safe, timely, and compliant animal transfers.

Duties:




Coordinate all laboratory animal imports, exports, and oncampus transfers, ensuring compliance
with institutional and regulatory requirements.

Manage endtoend scheduling and logistics for incoming, outgoing, and internal animal movements. Communicate with veterinarians, facility managers, researchers, vendors, couriers, and external
institutions to obtain health records, housing availability, colony health information, and

shipment requirements.
Review and verify all required documentation including purchase orders, health testing results,
permits, etc. to determine transfer approval and maintain complete, accurate records.
Track quarantine requirements, facility health statuses, exclusion lists, and vendor health
criteria to ensure proper routing of animals.
Ensure all transfers and shipments meet applicable federal, state, international, and
institutional transport and animal welfare regulations.
Prepare animals for shipment by assembling appropriate feed, bedding, hydrogel, and ensuring
proper labeling and container compliance.
Receive incoming animals, verify documentation, update electronic animal management systems, and
deliver animals to the correct facility or housing location.
Assist with health monitoring work?ows associated with transferred animals. Resolve issues related to shipment delays, documentation discrepancies, or compliance concerns. Monitor email and other communication channels, responding to inquiries in a timely and
professional manner
Perform data entry and administrative tasks, including updating databases, maintaining accurate
records, generating reports, and supporting documentation related to animal transfers and facility

operations.
Performs other duties as assigned

Job Requirements

Required education:

High School Diploma or GED,

AND:



1 year of experience in laboratory animal facility operations, research animal management, or a
related ?eld.

Certifications or Licenses:

Valid State issued driver's license

Working Conditions:




May include occasional early morning, evening, weekend, or holiday hours to meet timesensitive transfer requirements or accommodate shipments. Exposure to laboratory animals (primarily rodents; may include other species depending on institution), animal dander, allergens, and related environmental elements Frequent use of personal protective equipment (PPE) such as lab coats, scrubs, gloves, shoe

covers, face masks/respirators
Exposure to noise, odors, elevated ambient temperatures, humidity, and chemical disinfectants. Position involves standing, walking, bending, and lifting (up to ~50 lbs.) for extended periods. Work involves handling various animal species, which may bite, scratch, or exhibit unpredictable behavior.

Skills:



Knowledge of laboratory animal husbandry, biosecurity practices, and regulatory guidelines. Strong organizational and communication skills Ability to manage multiple concurrent tasks with accuracy and attention to detail. Ability to use data management and administrative software, including spreadsheets, reporting tools, and electronic record systems. Ability to interpret and follow complex regulatory requirements, institutional policies Ability to work independently and collaboratively within a multidisciplinary team.
Ability to maintain professionalism and composure in a fastpaced environment with timesensitive deadlines. Strong customer service orientation, supporting researchers and sta? with clear guidance on transfer requirements. Pro?ciency in Microsoft O?ce and animal management systems
