52 Week Full-time position

Job Goal:




To provide critical administrative support to the Special Education Department, ensuring smooth operation of day-to-day functions. This position is responsible for maintaining accurate student records, coordinating meetings, managing paperwork, and supporting positive communication with families, staff, and outside agencies. The role requires strong organizational

skills, attention to detail, and the ability to handle sensitive information with confidentiality and professionalism.

Qualifications:



Demonstrates flexibility, professionalism, and dedication Familiarity with Aspen and Google Suite preferred Prior experience in a school or special education setting strongly preferred. Excellent organizational skills and attention to detail. Strong communication and interpersonal skills. Ability to maintain confidentiality and handle sensitive information. Ability to work independently and as part of a team in a fast-paced environment.

Responsibilities:



Records Management:

Maintain and organize special education student files, both paper and electronic, in compliance with state and federal regulations. Ensure confidentiality of all student records and information. Update databases and tracking systems as needed.

Scheduling & Coordination:

Schedule IEP team meetings and other special education-related meetings. Coordinate calendars and meeting logistics with staff, families, and related service providers. Monitor timelines to ensure compliance with mandated deadlines.

Paperwork & Documentation:

Prepare, distribute, and file necessary documents Track and monitor completion of evaluations, IEPs, and other required documentation. Generate reports and assist with audits as needed.

Family & Community Engagement:

Serve as a professional and positive point of contact for families. Provide timely communication and support to parents/guardians regarding meetings, paperwork, and general inquiries. Collaborate with staff to address parent questions or concerns.

Compliance & Timelines:

Monitor compliance with federal and state special education regulations. Ensure that required timelines for evaluations, meetings, and documentation are met.


General Office Support:

Provide administrative support to the Special Education Director, team chairpersons, and special education staff. Perform other duties as assigned to support the department.
