The Integration Support Manager will provide high-level support and assistance in the identification, organization, and planning of Heartland Dental programs (Affiliation & De Novo). As the liaison between Field Operations, De Novo department stakeholders and our supported doctors and teams, this individual will be responsible for on-site and virtual training of systems.
Below is an overview of the duties and responsibilities you would take on in this role:
Support the planning, execution, and delivery of new offices integrations and training programs, ensuring they meet organizational goals and timelines.
Develop comprehensive project plans, including scope, objectives, deliverables, resource allocation, and risk mitigation strategies.
Maintain and monitor program development timelines and schedules; proactively communicate status, risks, and mitigation plans to leadership and stakeholders.
Serve as a liaison between Field Operations and De Novo stakeholders, ensuring clear communication of project goals and progress.
Facilitate effective meetings, including agenda setting, moderation, and timely distribution of minutes and follow up on action items.
Monitor the scheduling, enrollment, and delivery of all training sessions, ensuring optimal participation and learning outcomes.
Create and prepare reports, collect and analyze data, and synthesize survey results to inform project decisions and continuous improvement.
Track and report on key performance indicators (KPIs), milestones, and outcomes for integration initiatives.
Identify potential project risks and develop mitigation strategies to ensure successful program delivery.
Represent the team in internal meetings with stakeholders, fostering a collaborative and inclusive environment.
Minimum requirements:
1-2 years Hands-on project management experience: Strong technical skills required.
Ability to coordinate tasks, track progress, and support multiple projects in a fast-paced environment.
Create project plans: Develop and maintain detailed project plans, schedules, budgets, and reports.
Coordinate teams: Partner with the Senior Integration Manager, coordinating activities across multiple cross-functional teams, vendors, and stakeholders.
Manage deadlines: Set deadlines, assign responsibilities, and monitor and summarize progress.
Strong organizational and time-management skills with ability to manage multiple tasks simultaneously.
Excellent communication skills--written, verbal, and interpersonal.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and basic familiarity with project management tools (e.g., Smartsheet, SharePoint).
Problem-solving skills and willingness to take initiative.
Adaptability and comfort working in a fast-paced, evolving environment
Desired experience:
2-4 years of project coordination or project management experience, preferably in a multi-site or operations-driven environment.
Experience using advanced project management tools (Smartsheet, Asana, Jira, MS Project) including building dashboards, workflows, or automated reports.
Familiarity with process improvement methodologies, such as Lean, Six Sigma, or continuous improvement frameworks.
Strong analytical skills, including the ability to interpret data, identify trends, and provide insights to inform decisions.
Understanding of change management principles and ability to support teams through transitions.
Relevant certifications such as CAPM, PMP, Agile/Scrum fundamentals, or Lean Six Sigma Yellow/Green Belt (preferred but not required).
