We are seeking a detail-oriented and organized Intake Specialist to join our team. The ideal candidate will be responsible for managing patient intake processes, ensuring accurate documentation, and providing exceptional customer service. The Intake Specialist will play a crucial role in facilitating patient care by efficiently handling administrative tasks and supporting clinical staff.
The Intake Specialist serves as the first point of contact for individuals seeking behavioral health or stabilization services through Irie Behavioral Health. This role is responsible for collecting client information, verifying Medicaid or insurance eligibility, completing intake documentation, and coordinating with clinical and administrative teams to ensure a smooth onboarding process for new clients.
Key Responsibilities
Client Intake & Assessment
Receive referrals from the agency coordinators, partner agencies, or walk-ins.
Conduct preliminary intake interviews to gather essential client information including demographics, presenting issues, and service needs.
Verify Medicaid or insurance eligibility and document verification results.
Coordinate with the Program Director to determine program placement (community stabilization, crisis, etc.).
Ensure all required consent forms and releases of information are signed and filed.
Documentation & Data Management
Accurately complete all intake forms, consent documents, and assessment checklists in compliance with DBHDS and Medicaid regulations.
Maintain secure and confidential client records according to HIPAA standards.
Upload and organize documentation in the client management system promptly.
Track and log all referrals and completed intakes for reporting and reimbursement.
Coordination & Communication
Communicate daily with agency Coordinators, Clinical Staff, and Case Managers regarding new clients.
Notify team members of clients approved for residential or stabilization placement.
Collaborate with outside providers and referral sources to gather relevant client information as needed.
Support scheduling of initial assessments or therapy sessions after intake completion.
Administrative & Support Duties
Answer phone calls and inquiries related to intake or referral status.
Assist with gathering client identification, Medicaid cards, and other documentation.
Participate in staff meetings and trainings as required.
Maintain professionalism, empathy, and cultural sensitivity when interacting with clients in crisis.
Qualifications
Certification or training in CPR/First Aid, TOVA (or equivalent), and Behavioral Health Basics required or obtainable within 15 days of hire.
This job requires the submission of FieldPrint fingerprints and background check prior to onboarding.
Experience:
Minimum 1 year of experience in behavioral health, case management, medical billing, or related field preferred.
Knowledge:
- Familiarity with DBHDS programs, Medicaid eligibility, and behavioral health intake procedures.- Understanding of HIPAA and confidentiality regulations.
Skills:
- Strong communication and interpersonal skills.- Detail-oriented with excellent organizational and data-entry accuracy.- Ability to multitask in fast-paced environments and work with diverse populations.
Schedule & Environment
The 23-Hour Crisis Stabilization Program operates 24/7, requiring coverage across all shifts. The position involves direct interaction with individuals in crisis; safety protocols and supervision are maintained at all times.
We are looking for support on our 2nd, 3rd, and Weekend Shifts.
Mon-Fri Shifts Available: 3pm-11:30 pm & 11 pm-7:30 am
Sat-Sun Shifts Available: 7am-3:30 pm, 3pm-11:30 pm & 11pm-7:30 am
