We offer a wide range of individual, couple, family, and group therapy services to our community, specializing in relationships, secure attachment, trauma, emotion regulation, and body-focused healing. We are warmly inviting applications for a full-time Intake Specialist to oversee every aspect of welcoming new clients to our practice. We are looking for a special candidate who can quickly build a connection with potential clients, respond to questions in a clear and compassionate way, and help clients know more about who we are, how we work, and whether we are a good fit for their particular needs. This role is the lifeblood of our practice. It is often the first contact a client has with us and we know reaching out for help can be a vulnerable and stressful experience. Intake is the first step in building trust and helping clients know what they can expect if they choose to work with us. It is how we sustain the livelihood of our therapists, maintain our reputation, and ensure the ongoing success of the business. We are proud of the different approaches we offer to our clients. Our practice is grounded in well-researched, evidence-based models that offer a clear clinical map for the process of creating lasting change. We lean towards models that get to the heart of human struggles (how to connect and yet remain an individual, how to belong yet also follow your own path, how to protect when needs are missed, how to be vulnerable when needing connection - to name a few). From there, we ask our Intake Specialist to share these models/ways of working with clients so they can get a sense of the therapeutic experience they can expect if they choose to work with us. We provide full training in the art of talking to clients about therapeutic models and how these will be relevant to their struggles. While the role is a not identified as therapist position and does not require a clinical license, we know that a grounding in clinical practice is certainly an asset to our very thoughtful, thorough, and intentional approach to intake. As such, we are looking for a licensed therapist who can utilize their clinical skills, knowledge, and intuition to walk potential new clients through our phone consultation process. Ideal candidates will have clinical experience, interest, and/or training in the models we practice although we offer training in all the models to ensure you have everything you need for the role. We have several models that are foundational to our practice. We provide full training and/or certification with the relevant training institution and then offer ongoing model-specific consultation, supervision, and in-house training to our therapists. This ensures that our therapists are well trained and supported on an ongoing basis to develop solid working internal models/maps for the process of creating lasting change, step by step. Our foundational models include: Emotionally Focused Couples Therapy, Emotionally Focused Family Therapy, Emotionally Focused Individual Therapy, Bowenian Family Therapy, Structural Family Therapy, Internal Family Systems, Compassionate Enquiry, Somatic Experiencing, Theraplay, Parent-Child Interaction Therapy, EMDR, Trauma-Focused CBT, Acceptance and Commitment Therapy, and Play Therapy, and Sensorimotor Psychotherapy. The role of Intake Specialist is a complex and layered one. It requires organization, clinical skills, creativity, and multi-tasking as you match the needs of clients with the skill, training, personhood, experience, availability, and referral priority order of our staff team. We hold and actively manage a waitlist as well as responding to current needs coming in through the intake service. Tracking the complex administrative demands of our intake service is key to maintaining the steady flow of new business. We track metrics, adapt and develop systems, and target our marketing efforts to ensure we are capitalizing on the demand for specialist services, converting contacts into clients, and responding to trends in clinical needs. The Intake Specialist and Founder work together to constantly review our intake service to support both the needs of our clients and the growth of the practice. An interest in utilizing data and metrics to better inform the role is particularly valuable and welcomed. This role requires stable and consistent emotional capacity for offering a significant number of phone consultations across the course of the week. Clients may be in distress, struggling with relationship crisis, require boundary setting or clarification as to expectations or outcomes, or have needs that are outside the scope of our practice. The position requires the candidate to be reliably empathic, confident, clear, calm, validating, and open to having task-focused and time-limited conversations about pain, struggle, or stuckness on a daily basis. We have designed a specific process for phone consultations which allows for both nurture and engagement as well as structure and predictability in the ways we welcome new clients into the practice. This process offers a solid map for bringing in new business and can also feel repetitive over time. As such, we are looking for a candidate who has the emotional passion and bandwidth to lean into the ongoing relational and organizational demands of this role. Our clients report they appreciate that we return their contact promptly (we aim for a maximum of 24 business hours), take the time to answer questions and learn more about their needs, and then help them know how we can be of service to them. Feedback typically includes an increased sense of feeling seen, as well of hope and excitement for the therapy process and the possibilities it holds for the creation of change. The ideal candidate for this role is naturally empathic, thrives on connection, able to assess client needs quickly, process multiple data sources at the time, and convey complex information about treatment approaches/modalities in a human and accessible way. The ideal candidate is also highly organized, self-motivated, detail-oriented, skilled in managing processes and systems, and confident in their communication skills. Being part of a team that pulls together in service of our clients and our meaningful work is also integral to the position. We are recruiting a full-time, licensed-level therapist (maintaining your license is not required for the role). Applicants who fail to follow the instructions will not be considered for the position.*** Skills we are looking for The Intake Specialist (IS) role is pivotal to the successful running of our practice, providing a steady flow of new clients to our therapists and the first experience our clients have of our unique offerings: The role requires the IS to balance building a relationship with new clients through a warm and validating approach and providing transparent information about how we offer services. Our intake service is incredibly busy and involves a significant amount of time talking directly with clients over the phone. As such, this role is particularly suited to those who are energized by connection and have the capacity to remain open, courteous, and compassionate on a consistent basis. The Is completes a phone screening process with each client and uses this information to match them with one of our multiple therapists in different physical locations. The ideal candidate will be able to process detailed information and make decisions quickly that are consistent with the needs of the clients, the skills of our therapists, and the legal, ethical, and privacy requirements of the mental health field. The role requires excellent organizational skills, self-motivation, and a confident approach to the work. The role also requires maintaining accurate records, providing intake documentation to clients, responding to all client contacts in a timely manner, managing our electronic health record, and tracking and adapting systems as needed.
