Job Description

Intake Coordinator will report to the Director of Strategic Growth. This position is considered salary per wage and hour laws--onsite work required.

As an intricate part of the admissions team, this role will also work closely with the on-site clinical team and billing department, case managing and gathering necessary documentation from the potential client throughout the admissions process. In addition, this role will effectively communicate the level of care recommendation and financial information and work with the client or the client's family to ensure payment/admission to higher levels of care (HLOC) with Thrive Wellness. This position is considered nonexempt and eligible for NonExecutive PTO and other benefits.

Qualifications:



High School Diploma, Associates Degree, or have an educational equivalency.

2+ years prior mental and/or behavioral health experience (direct eating and/or perinatal experience a plus)

Good understanding of the admissions/case management process

Working knowledge of medical terminology as it relates to mental health disorders.

Proficient in spelling, grammar, and multitasking.

Self-starter who learns quickly has a sense of urgency and is documentation oriented.

Strong computer (i.e. Google Office programs) skills and experience with insurance web portals, customer relationship management (CRM) systems, scheduling tools, etc.

Must pass a federal background check at hire and every 3 years.

Must have excellent interpersonal, verbal, and written communication skills, as well as the ability to effectively prioritize and manage your time unsupervised & independently.

You may be asked to drive your personal vehicle periodically as we service multiple locations; must hold a valid driver's license at all times.

Duties:



Responsible for case management of the admissions process including but not limited to:

Working on new inquiries and ensuring all paperwork is documented and signed by potential clients Update documentation and communication daily (within EMR systems) Assuring intakes/screenings and level of care recommendations are delivered to clients. Prepare medical packets, request records, and schedule appointments as applicable. Work with case managers and providers to schedule orientation, admission and provider schedules. Maintains the safety and well-being of all clients. This includes any personal health information. Runs all VOBs for HLOC clients within the same day information is entered on the "VOB tab" within the admissions whiteboard. This includes calling insurance companies to get benefits checks for all levels of care. Creates EOC forms based on client's insurance. Keeps up on level of care recommendations for each client in order to prepare accurate EOC information. Effectively communicates financial information to the client/family so they understand what is owed upon admission. Reviews HFA process and works in real time with the client to determine payment plan. Confirms payment with a signed document from the guarantor through the HFA system. Guides client/families through the sliding scale fee application process when appropriate. Gets approval for SSA and works through cost adjustment and next steps for client payment. Works through SCA process when applicable.
Responsible for conducting intake assessments when needed.

Receiving medical and clinical clearance prior to scheduling admit date. This includes signed and approved medical records to be placed in clients chart in.

Communicating to treatment staff of the upcoming admission and any important information regarding the client and/or family.

Communicating with referral sources via email or phone to thank them for the referral and to provide information about their client going through the admissions process.

Expected to attend weekly meetings to report on caseload progress and troubleshoot any roadblocks as well as review of KPI goals and progress.

Acts as additional coverage for Outreach and Front Desk Services when needed:

Community outreach, events, drop-offs, etc. From time to time we may need to ask you to tend to front desk needs (ie greeting people as they enter, taking the trash out in common areas each day, etc)

Pay: $57,000.00 - $62,000.00 per year
