Your Role



The Human Resources Representative supports the employee lifecycle from onboarding through separation by managing key areas such as onboarding, performance review processes, documentation, maintaining personnel records, and facilitating HR processes. This role provides administrative and operational support to the HR Manager and serves as a point of contact for staff regarding general HR-related inquiries.



Responsibilities


Coordinate onboarding activities in partnership with recruiter and hiring managers, ensuring all pre-employment requirements are met (e.g., physicals, background checks, etc).

Facilitate new hire and intern onboarding, including orientation sessions covering company policies, benefits, and expectations. Ensure timely entry of all new hires into the HRIS and maintain accurate onboarding documentation for both employees and temporary staff.

Process employee status changes (hires, terminations, transfers, etc.), and generate related communications and documentation, as needed.

Ensure accurate and secure maintenance of employee files, including digital and physical records.

Maintain and audit I-9 forms, ensuring compliance with federal and state regulations.

Monitor, track, and upload documentation for employee licensure, certifications, driver's licenses, auto insurance coverage, and other compliance credentials to ensure regulatory and organizational compliance.

Coordinate the performance review process by tracking due dates, sending reminders and follow-up emails to managers to ensure timely submission for employee increases, and maintaining completed evaluations in the HRIS system.

Provide support to managers and employees on the performance review process as needed.

Coordinate annual and periodic background checks, including IDPH/DHS and CANTS compliance, as well as drug testing, ensuring all processes meet regulatory requirements.

Manage DOT file requirements and compliance with Pace, including physicals, re-certifications, Drug and Alcohol testing, and documentation audits.

Support audits by providing necessary documentation and reports.

Respond to verification of employment requests, PSLF forms, and other employment verifications.

Attend and complete all required agency trainings within designated timeframes.

Ensure compliance with all applicable agency, state, and federal regulations and policies.

Provide administrative support to the HR Manager on day-to-day functions and special projects.

Qualifications


Bachelor's degree in Human Resources, Business Administration, or related field preferred.

2-4 years of experience in an HR role, preferably with a generalist scope.

Knowledge of HR practices, employment laws, and compliance requirements.

Proficiency in HRIS systems and Microsoft Office Suite.

Excellent communication, organizational, and time-management skills.

Strong attention to detail and ability to manage multiple priorities.

Problem-solving mindset with the ability to address employee concerns effectively.

Commitment to maintaining confidentiality and ethical standards.
