Position Summary:



The Human Resources Coordinator provides strategic HR and payroll support across all Arcadia Inc. locations nationwide. This role oversees timekeeping, payroll compliance, and temporary staffing operations while advising leadership on process improvements. The Coordinator ensures accurate pay, adherence to wage-and-hour laws, and consistent HR practices across sites. Duties may evolve based on business needs.

Key Responsibilities:



Strategic HR & Timekeeping Oversight



Maintain and optimize the time & attendance system (ADP) across all sites, including user setups, schedules, job codes, pay rules, and accrual policies. Perform timecard audits for accuracy: missed punches, early/late/short meal periods, rest-break flags, unscheduled overtime, and out-of-schedule work. Investigate discrepancies with supervisors, document corrections, and certify that timecards are complete and approved by payroll deadlines. Track meal/rest period compliance, identify trends, provide coaching tools to leaders, and recommend process improvements.

Payroll & Compliance Leadership



Partner with the Payroll Manager to ensure accurate, timely pay and resolve complex payroll issues, including shift differentials, training, reporting time pay, and split shifts. Support post-payroll audits, including wage statements, premiums, and retroactive adjustments. Maintain compliance with federal, state, and local wage-and-hour laws, including meal and rest periods, overtime, reporting time, and paid leave.

Temporary Staffing & Vendor Management



Oversee agency placements, onboarding, and invoice review. Coordinate with managers to ensure temporary staffing needs align with operational requirements.

Policy, Training & Communication



Develop, communicate, and enforce HR and timekeeping policies. Train new leaders on compliance, approval standards, and documentation requirements. Standardize processes across sites to ensure consistency and control.

Records, Reporting & Continuous Improvement



Maintain accurate records, change logs, and reports in compliance with company policy and retention requirements. Generate regular compliance and KPI reports (meal/rest compliance, exceptions, overtime). Recommend system and workflow improvements that enhance accuracy and efficiency.

Minimum Qualifications:



2+ years of HR, payroll, or time & attendance experience supporting multi-site operations. Demonstrated ability to exercise independent judgment on matters affecting operations. Strong knowledge of wage and hour laws and HR compliance. Experience with HRIS/timekeeping systems (e.g., ADP) and intermediate Excel/Sheets skills. Excellent communication, coaching, and problem-solving skills.

Preferred Qualifications:



Experience in manufacturing, logistics, or multi-shift environments. Bilingual English/Spanish. Temporary staffing and vendor management experience. Basic familiarity with leave tracking, meal premium calculations, overall payroll.

Work Schedule & Travel:



Full-time, on-site to support operations; schedule may vary by shift coverage needs. Travel to locations as business needs require.

Physical Requirements:



* Prolonged periods at a computer; occasional walking between departments and timeclock locations; ability to lift 20 lbs. as needed.
