PRIMARY FUNCTION:

QUALIFICATIONS:




Education and/or Experience



Associate degree (preferred)

Experience in Human Resources or health-related field (preferred)

Certificates, Licensure, Registrations




SHRM or PHR Certification (preferred)

WORK SCHEDULE & SHIFT REQUIREMENTS:



The facility operates 24/7; however, work schedules may vary based on departmental needs to ensure the highest standard of patient care and operational efficiency. Flexibility will be expected.


Position is classified as non-exempt and eligible for overtime in accordance with labor laws.

Recruitment & Onboarding




Assist with all aspects of recruitment, including job postings, advertisements, application processing, interview scheduling, and reference checks. Maintain applicant tracking system or HRIS records for all candidates. Coordinate logistics for interviews (rooms, technology setup, candidate communications). Assemble new hire packets and guide employees through post-offer requirements. Provide support for new employee orientation sessions (bi-monthly or as needed). Ensure completion of pre-hire screenings (background checks, drug screens, health requirements) for employees, volunteers, students, and contracted staff. Enter new hire data into payroll/HRIS systems.



Benefits Administration




Prepare, process, and maintain documentation for employee benefit enrollment and coverage updates. Ensure compliance with benefit regulations and accurate/timely payroll deductions. Respond promptly to employee benefit inquiries and provide follow-up assistance. Process status changes in HRIS within required timeframes. Assist with regulatory reporting, including ACA compliance.



Compliance & Regulatory



Support compliance for onboarding of employees, volunteers, students, and contracted staff. Assist in transitioning employee personnel records to HRIS. Verify validity of licenses, certifications, and credentials. Track expiration dates and ensure timely renewals.

Track and process employee Leave of Absence (LOA) and FMLA requests, including documentation, eligibility, and certification management.

Maintain accurate leave records in HRIS/UKG, monitor deadlines, and ensure compliance with federal, state, and organizational policies.

Maintain accurate records in HRIS to demonstrate regulatory and policy compliance. Assist HR leadership in audit preparation and reporting.



Employee Relations & Records Management




Maintain personnel files and ensure accurate, timely updates. Support employee relations processes in coordination with HR Manager/Coordinator. Respond to routine employee inquiries and escalate complex issues as appropriate. Assist with HR-related quality programs and initiatives.



Payroll & Timekeeping Support




Assist employees with basic payroll/timeclock inquiries. Review time and attendance reports prior to payroll submission. Provide clerical support for payroll adjustments as directed by HR leadership.



Event & Employee Engagement Support




Support HR Coordinator with Employee Recognition Program logistics. Assist in coordinating employee engagement events and initiatives. Prepare materials, communications, and logistical support for HR events.



General HR Office Support




Answer HR department phone calls and return calls as needed. Maintain HR office supplies, orientation binders, and forms. * Prepare HR communications such as newsletters, memos, and policy updates.
