The HR Assistant provides on-site human resources support and serves as the primary in-person HR presence for the organization. This role supports day-to-day HR operations that require a physical presence, including interviews, employee onboarding, documentation management, and real-time issue support. The position works closely with the HR Director, who will be transitioning to a remote role.
This is an ideal opportunity for someone who is detail-oriented, professional, and comfortable serving as the "face" of HR on-site while operating within clearly defined responsibilities.
Key Responsibilities
Recruitment & Hiring Support
Conduct in-person interviews and assist with candidate coordination
Support job postings and applicant tracking as directed
Facilitate pre-employment documentation and onboarding steps
Employee Support & On-Site HR Presence
Serve as the first point of contact for in-person HR-related questions and concerns
Handle on-the-ground employee issues and escalate appropriately to the HR Director
Prepare physical spaces for virtual meetings or HR consultations with the HR Director
Onboarding, Orientation & Training
Coordinate and manage new hire orientation and training schedules
Ensure onboarding materials and required documentation are completed and collected
Support training logistics and attendance tracking
HR Administration & Records
Scan, upload, and maintain employee documents in the HRIS
Track required documentation and expiration dates (licenses, certifications, etc.)
Assist with performance review coordination and documentation tracking
Maintain accurate and organized personnel files
General HR Support
Support compliance-related tasks as assigned
Assist with audits, reporting preparation, and HR projects
Maintain confidentiality and professionalism at all times

Policy creation or disciplinary decision-making authority
(These functions remain with the HR Director.)
Qualifications
Previous experience in an HR assistant, HR coordinator, or administrative support role preferred
Strong interpersonal and communication skills
Ability to handle sensitive information with discretion and professionalism
Strong organizational skills and attention to detail
Comfortable working independently with remote supervision
Proficient with basic office technology (scanners, email, document management systems)
Reliable, punctual, and professional presence
PHR or aPHR certification strongly preferred
Work Environment
In-person role requiring daily on-site presence
Collaborative environment with direct access to the HR Director
Regular interaction with employees at all levels of the organization
Compensation
Hourly rate commensurate with experience
Pay: $18.00 - $20.00 per hour
Expected hours: 20.0 per week
