GENERAL STATEMENT OF JOB





Performs a variety of office or program support duties in the Human Resource Division requiring an understanding the overall functions and duties of school personnel, department services, and district services. Requires independence and detailed knowledge in the performance of special assignments relating to HR programs and office operations assigned. Employees in this class perform detailed and highly skilled clerical and administrative support duties. Work generally requires that employees in this class handle day-to-day unsupervised responsibilities that are required to maintain accurate and complex HR information on all employees including highly confidential, legal, and financial data. Duties are varied with an element of program and organizational complexity. Independence of action is required as well as a high level of self-initiative in performing activities. Employees in this classification must have a level of analytical skills to make decisions on policies and procedures based on state statutes and/or local board policies. Guides may include a variety of written manuals and instructions, as well as oral instructions. Judgment is required in selecting and applying the appropriate guide; deviations from established procedures or unprecedented situations are referred to supervisors. Employees in this classification report directly to a higher-level supervisor or directly to the Department Head and are evaluated by the Department Head on the quality and effectiveness of their work and performance.

ESSENTIAL JOB FUNCTIONS





Serves as office, budget or program support to the department head; answers calls directly and gives Receives and greets visitors and/or employees; gives information concerning questions and requests of employees and/or visitors; handles these requests independently. Secures information via telephone or personal contact; selects appropriate answers to questions from guides, manuals, procedures and Handles confidential items, requests, and/or materials. Makes appointments, coordinates arrangements, workshops, meetings, agenda items; signs items for supervisor; may take minutes of a board or commission meeting. Operates a word processor to generate correspondence, memoranda, notes, minutes, reports or other materials; reviews work for compliance with instructions, spelling, punctuation and basic grammar; proofreads final copies of Types a variety of materials including tabular charts and statistical materials from typed, handwritten copy or machine dictation; proofreads final copies for spelling, punctuation, grammar, and format. Maintains budgets for supervisors by processing purchase orders, receiving and checking products and materials received, and accurately recording information on


Inputs employee personnel and payroll data into computer system; verifies and edits data and corrects as Screens and routes materials according to content of communications. Maintains confidential records and files of employees and Processes purchase requests or personnel actions for the department or unit; reconciles monthly budget printouts and tracks line item Provides backup assistance to other roles in the department by cross training of duties.

MINIMUM TRAINING AND EXPERIENCE

Graduation from high school and several years progressively responsible administrative/office management experience; or completion of a two-year secretarial science or business administration program and some experience as described above; or an equivalent combination of education and

PHYSICAL REQUIREMENTS





Must be able to physically perform the basic life operational functions of fingering, grasping, talking, hearing, and repetitive motions. Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Some positions assigned to this class may require light work exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
