Job Summary:



The Metis Foundation is seeking a Full-time, Exempt Human Resources Administrative Assistant to join our team and help build and maintain our operations in Bethesda, Maryland, and across the USA. The Human Resources Administrative Assistant will report to the Human Resource Manager and will provide essential day- to-day administrative and operational support to the HR department. This position plays a vital role in ensuring efficient HR processes and positive employee experiences by supporting onboarding, employee engagement initiatives, record keeping, and other HR functions.

A key focus of this role is coordinating new hire site in-processing from start to finish, which involves managing multiple documents, ensuring accuracy and timeliness, and communicating with various site departments to facilitate a smooth onboarding process.

This position will be in support of The Metis Foundation Core Office and work closely with the Metis programs located at Uniformed Services University, specifically the Military Cardiovascular Outcomes Research program (MiCOR) in Bethesda, Maryland. The MiCOR Program is intended to understand the impact of military service- particularly precision medicine, stress, weight gain, exercise, and pharmacotherapy- on cardiovascular risk.

The mission of the MiCOR Program is to enhance the cardiovascular health and well-being of the Warfighter and the DoD community through innovative clinical research using precision techniques. MiCOR has a variety of clinical research studies focused on both the biomedical and behavioral components that contribute to cardiovascular risk and disease. The selected candidate may be required to obtain a Secret Clearance and undergo credentialing before beginning work. This work site requires that non-US citizen incumbents have lived in the US for three consecutive years out of the past five years.

Responsibilities:



Support daily HR operations and general administrative functions. Lead and coordinate the new hire site in-processing process from start to finish, including: Preparing, reviewing, and submitting multiple required documents. Communicating with site representatives, HR, and other internal departments to ensure timely completion. Monitoring progress and resolving any onboarding issues or delays. Ensuring new hires meet all compliance and site access requirements. Maintain and update accurate employee records and files in accordance with company policies and confidentiality standards. Track and coordinate employee anniversaries and birthdays, ensuring timely recognition. Prepare and send employee communications, such as holiday messages, announcements, and informational updates. Assist with company swag management, including coordinating with the Procurement team on ordering, inventory control, and distribution. Maintain and monitor employee training records, ensuring compliance with required certifications and renewals. Assist with employee occupational health assessments, including scheduling, tracking, and documentation. Process required paperwork for employee transfers, job classification changes, salary adjustments, and other employment-related matters. Respond to employee inquiries promptly, providing professional and timely support. Collaborate with internal team members on projects, employee engagement initiatives. Update employee records with new hire information and/or changes in employment status in a timely manner. Maintain accurate and current employee documentation Implement HR policies throughout the Foundation. Serve as the local HR point of contact through continued strong employee relationships and regular visits to research site locations. Ensures strong levels of customer service to Principal Investigators and research teams being served. Support as a liaison and an active partner between principal investigators, research groups, and other departments; respond to sponsor inquiries. May perform other duties and responsibilities as assigned or directed by the supervisor.

Required Knowledge, Qualifications, and Abilities:



Bachelor's Degree 1-3 years of business administrative or human resources experience preferred Excellent organizational skills and attention to detail. Extensive knowledge of office management systems and procedures. Ability to operate general office equipment. Excellent written and verbal communication skills. Proficient in Microsoft Office Suite or similar software. Demonstrated ability to handle sensitive information with discretion and professionalism.

Compensation Range:

$42,000.00 - $47,000.00 base annual salary

Physical Capabilities



Ability to frequently remain in a stationary position; operate a computer and other standard office equipment; visual capacity to review and edit documents; converse by telephone and in person. Some bending, lifting up to 30 lbs., and grasping.

Work Environment



Work is performed in a professional office environment that includes the operation of standard office equipment such as computers, phones, copiers, calculators, and filing cabinets. Moderate noise levels. This position consists of a hybrid schedule, 3 days' work from home and 2 days in the office.
