Homebuilding Operations Coordinator





Buyer Engagement & Sales Process Management



Track all buyer interactions in a CRM platform to ensure no lead falls through the cracks and to personalize future communication.

Meet prospective buyers at the subdivision to showcase the community and active homes under construction for marketing and lead engagement purposes.

Create a pre-sale onboarding packet for buyers, including floor plans, option sheets, and FAQs to streamline decision-making.

Provide thorough recap emails following walkthroughs, including warranty procedures, punch list items, and contact information.

Communicate with superintendents and vendors to ensure contract obligations are fulfilled before closing.

Maintain a centralized buyer communication log to ensure timely follow-up and consistent messaging throughout the sales cycle.

Create a "Welcome Home" follow-up campaign (email or printed) to be delivered at key milestones--contract signing, selections, and post-close.

Vendor Coordination & Selections Management



Conduct exterior and interior selections meetings with contracted buyers, documenting all chosen selections in a centralized tracking sheet.

Gather and send vendor selection sheets (lighting, cabinets, countertops, mirrors, tile, etc.) to obtain timely quotes.

Facilitate final approval of selections and communicate changes due to availability or backorders.

Communicate selections and or changes to appropriate parties including field teams and subcontractors.

Follow up on vendor quotes and approvals to keep construction timelines on schedule.

Maintain a digital selections tracker by home and buyer to ensure version control and transparency with internal teams.

Use collaborative digital tools (e.g., Google Sheets, Buildertrend selections module) with version control to streamline vendor communication.

Jobsite Oversight & Quality Control Assistance



Visit job sites regularly to ensure home progress aligns with selections, MLS listing status, and sales timelines.

Submit punch list or vendor corrections prior to orientation.

Communicate directly with superintendents to resolve on-site issues related to home readiness.

Use a visual progress checklist for each home under contract to monitor build stage, selections, and walk-through prep.

Attend weekly production meetings with superintendents to align home readiness with closing dates and MLS listings.

Homeowner Warranty Intake & Support



Conduct buyer orientation meetings and walkthroughs to guide clients through the final stages of the construction and closing process.

Prepare and deliver move-in and homeowner packets prior to orientation or closing.

Receive homeowner warranty issues and input them into tracking systems (e.g., BuilderTrend) for follow-up by the appropriate team member.

Coordinate with superintendents and vendors to determine root causes and issue resolutions.

Send recap emails to homeowners outlining the plan for warranty items.

Develop a standardized 30/90/365-day warranty follow-up schedule to manage homeowner expectations.

Offer a pre-close warranty Q&A session with each buyer to set expectations and reduce confusion after handoff during the homeowner orientation.

Job Type: Full-time

Pay: $48,000.00 - $58,000.00 per year
