As our Scheduling Coordinator, you are the one who keeps everything moving by balancing caregiver availability, client needs, time-off requests, and the inevitable last-minute curveballs. Your Day-to-Day Impact
Own the schedule: Build, maintain, and confirm caregiver schedules at least two weeks out while tracking daily changes in real time
Match thoughtfully: Pair caregivers and clients based on skills, location, compatibility, and consistency
Respond quickly: Maintain an up-to-date on-call list and resolve call-outs or emergencies in minutes, not hours
Communicate clearly: Send timely updates to caregivers, clients, and management through phone, text, and scheduling software
Support HR: Assist with occasional interviews, onboarding new hires, and providing insight that promotes retention
Stay organized: Update records, coordinate client appointments, and ensure compliance with agency and state standards
What You Bring
Home care scheduling experience is required;
this is not an entry-level role
Experience as a scheduler, staffing coordinator, or dispatcher in home care, healthcare, or similar environments
Strong proficiency with scheduling platforms and Microsoft Office
Excellent multitasking skills with sharp attention to detail
Calm, empathetic communication style, especially when handling urgent scheduling issues
High school diploma or GED (business or healthcare coursework preferred)
Bilingual (English/Spanish) is a strong plus
Positive, proactive team mindset
Ability to work a hybrid schedule (3 days in office / 2 days remote)
Availability outside a traditional 9 to 5, as scheduling needs may arise after hours
Ability to begin training immediately upon hire
