Job Description

The Utah State Historic Preservation Office is seeking to hire a part time Grants Administrator to oversee Utah Main Street's grant operations. Utah Main Street is a historic preservation based economic development program that brings together a network of passionate community members engaged in historic commercial district revitalization. We bring people together to strengthen local economies, preserve the heart of our communities, and celebrate our unique places. This position will serve as the main point of contact both internally and externally for all UMS grant programs. If you love a good spreadsheet, this might be the job for you!
Principal Duties

• Oversee existing grant program operations

• Coordination between applicants and awardees, UMS staff, Department Finance, and the Federal Government when applicable.
• Tracking different levels of review, project deadlines, status updates, payment payouts, etc.
• Review reimbursement requests and request payouts.
• Create and submit required reporting to various agencies on time.
• Assist with announcing grant cycles, notifying awardees, etc.

• Prepare applications, paperwork, contracts, etc.
• Coordinate on social media and UMS email announcements
• Organize all grant materials for easy distribution and review among team members
• Provide customer support for involved parties
• Make an effort to familiarize yourself with grant specific knowledge (i.e.: historic preservation principles, a new data tool, etc.)
• Serve as a primary point of contact with the Department's Finance Team.
• If time allows, explore future grant opportunities and provide grant review assistance to Utah Main Street communities.
• Other duties as assigned. The State Historic Preservation Office is a collaborative group of individuals who support each other's unique programs and projects. As time allows there may be opportunities to assist with historic preservation or archaeological projects and events, data management, cemetery preservation, and more.

Ideal Candidate
The ideal candidate will have the following:

• Extensive experience in grant and/or project management.
• Knowledge of grant procedures and practices such as contracts, reimbursement requests, reporting, etc.
• Familiarity with finance and grant terminology and practices such as NOFOs, RFPs, procurement procedures, etc.
• Intermediate skills in Microsoft Office, Google products such as Word/Docs, Excel/Sheets, etc. as well as Adobe Acrobat and Asana.
• Willingness to be proactive and take initiative.
• Strong detail-oriented organization skills and ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
• Excellent written and verbal communication skills.
• A collaborative work ethic and the ability to work effectively both independently and as part of a team.
• Strong interpersonal skills when dealing with both internal and external parties.
• Interest in or familiarity with historic preservation based economic development.
• Willingness to learn new systems, databases, and technology.
• Familiarity with or willingness to learn the Historic Preservation Fund Grants Manual.

Preferences
Preference will be given to applicants with experience in grant administration and State and Federal finance procedures.
Salary & Schedule Information

• The anticipated hourly pay rate is between $20 and $28 hourly dependent on experience.
• There may be some flexibility in the number of hours per week that must be worked but the general expectation would be 20 hours a week on average. There may be opportunities for some weeks to be higher and some to be lower, but that should always be coordinated ahead of time with your supervisor.
• There is a possibility that this position may allow for up to 29 hours a week on average depending on changing budgetary and workload factors but that is not expected as of this posting.
• The employee's schedule can be somewhat flexible but needs to largely overlap with other team members' schedules, regular business hours, etc.
• Hybrid work location allowed with one day per week in-office required for employees who live within 50 miles of the office (virtual allowed for those who live further away). Fully in office is also allowed depending on applicant preference.

• This role is largely conducted in a typical office setting with access to standard office equipment, however:

• The role also requires periodic site visits to a variety of environments, such as active construction sites and walking along busy roads.
• This role also requires you to have a valid Utah Driver's License and to drive agency vehicles on maintained roads.
