We are seeking a highly organized and proactive Accountant/Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong leadership skills, exceptional communication abilities, and a comprehensive understanding of accounting practices.
Duties
1. Industry & Union Knowledge
Familiarity with union rules, agreements, and collective bargaining agreements (CBAs).
Understanding of union payroll requirements, wage scales, dues, and benefits reporting.
Experience handling compliance with prevailing wage and certified payroll reporting.
2. Construction & Project Administration
Ability to support project managers and superintendents with contracts, submittals, RFIs, change orders, and job cost tracking.
Knowledge of construction documents, lien releases, permits, and insurance requirements.
Proficiency with construction project management software.
3. Financial & Payroll Management
Handling union payroll accurately and timely (multiple locals, benefits, dues, fringe contributions).
Job cost accounting, pay applications, AIA billing, and accounts payable/receivable.
4. HR & Workforce Coordination
Coordinating with union halls for dispatch requests, terminations, and manpower needs.
Onboarding and maintaining worker certifications (OSHA, safety, trade licenses).
Ensuring adherence to labor laws, union rules, and company policies.
5. Organizational & Communication Skills
Ability to bridge communication between union field workers, office staff, and management.
Strong written and verbal communication for handling contracts, owners, and vendors.
Excellent organizational skills for managing multiple active projects simultaneously.
6. Compliance & Risk Management
Ensuring proper insurance certificates, bonding, and contract compliance.
Familiarity with OSHA requirements, jobsite safety documentation, and reporting.
Maintaining accurate and auditable records for both financial and legal compliance.
7. Technology & Reporting
Skilled in MS Office (Excel, Word, Outlook) and industry-specific software.
Able to generate and analyze cost reports, forecasts, and labor productivity reports.
Comfortable adapting to digital tools for document control and workflow efficiency.
