Position Summary:
The Front Office Receptionist is the welcoming face and voice of Evansville Day School. This position ensures the smooth daily operation of the school's front office and provides high-level administrative support to the Head of School and the leadership team. This position requires exceptional organization, discretion, judgment, and the ability to manage multiple priorities with grace and efficiency.
Key Responsibilities:
Administrative Support:
Provide administrative support to the Leadership Team
Act as liaison between the Head of School and internal/external constituencies
Maintain confidential files and records with utmost discretion
Front Office & Visitor Relations:
Serve as the first point of contact for all guests, students, and families--answering phones, greeting visitors, and maintaining a friendly, professional, and helpful front-office atmosphere
Manage student and visitor check-in/out and security procedures to maintain a safe and organized campus environment.
Respond promptly to general inquiries and route calls, emails, and messages appropriately
Help coordinate daily student attendance and dismissal notifications
Administrative & School Operations Support:
Assist with school-wide communication, announcements, and reminders
Help maintain the school's master calendar and coordinate scheduling to avoid conflicts
Support the planning and logistics of school events such as Back-to-School Night, assemblies, and graduation
Provide clerical support to division heads and administrative departments (Advancement, Business Office, Admissions) as needed
Liaise between the Facilities Manager and faculty for maintenance or setup requests
Systems & Records Management:
Contribute to daily recordkeeping and document management (e.g., attendance, emergency contacts)
Manage school lunch ordering and vendor coordination
Assist with the monitoring and updating of internal documents (e.g. emergency plans, handbooks)
Office & Communication Management:
Handle all incoming and outgoing mail and deliveries
Manage office supply inventory
Keep shared office spaces organized and well-maintained
Other Duties:
Provide nurse support in her absence (non-medical duties only)
Assist with urgent or emergency situations with calm and professionalism
Other responsibilities as assigned by the Head of School
Qualifications:
Associate degree required
Experience in an administrative support role
Excellent interpersonal, organizational, and communication skills
High level of professionalism, discretion, and confidentiality
Proficient in Microsoft Office Suite, Google Workspace, and database systems
Ability to manage multiple priorities while maintaining attention to detail
Ability to act with prudence and calm in emergency situations
