Job Summary


We are seeking an energetic and detail-oriented Front Office & Property Management and Real Estate Assistant to join our dynamic team. In this pivotal role, you will serve as the first point of contact for residents, visitors, and vendors, ensuring a welcoming and professional environment. You will support property operations by managing administrative tasks, coordinating leasing activities, and assisting with property maintenance and compliance. Your proactive approach and excellent customer service skills will help foster positive relationships with tenants and stakeholders, contributing to the smooth and efficient management of our properties. Duties



Greet residents, visitors, vendors, and contractors with professionalism and courtesy, providing exceptional customer service at all times Manage front desk operations including answering phones, scheduling appointments, and directing inquiries efficiently Assist with leasing activities such as showing available units, processing applications, and coordinating move-ins and move-outs Maintain accurate data entry in property management systems like RentRedi, Buildium and Appfolio, ensuring all resident records are up-to-date Support compliance with Fair Housing regulations, Landlord-Tenant laws, LIHTC (Low-Income Housing Tax Credit) requirements, Section 8 programs, and other legal standards Prepare and review lease agreements, contracts, and legal documents to ensure accuracy and adherence to policies Coordinate property maintenance requests with facilities management teams using CMMS (Computerized Maintenance Management System) tools Conduct regular property inspections to identify maintenance needs or safety concerns; document findings thoroughly Manage filing systems for legal documents, resident records, contracts, and compliance documentation Assist with conflict management by addressing resident concerns promptly and professionally while escalating issues when necessary Support upselling efforts by promoting available amenities or additional services to residents during interactions Collaborate with leasing agents and property managers to optimize occupancy rates through effective customer relationship management strategies

Skills



Proven experience in property management or real estate administrative roles; familiarity with LIHTC programs highly desirable Strong knowledge of CMMS systems, and other property management software tools In-depth understanding of Landlord-Tenant law, Fair Housing regulations, Section 8 housing policies, and legal contractual procedures Excellent customer service skills with a professional phone etiquette; ability to handle sensitive situations tactfully Effective conflict management and negotiation skills to resolve resident issues amicably Experience in leasing processes including showing units, application processing, and lease signing procedures Strong organizational skills for data entry, filing systems, and maintaining accurate records Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail Facilities management knowledge for coordinating property maintenance activities effectively Administrative experience supporting office functions such as filing, data entry, correspondence handling, and record keeping Demonstrated ability to upsell amenities or services that enhance resident satisfaction and retention
3 Days in office mandatory.

Mandatory in office days: Monday, Wednesday and Thursday 9am-3:30pm

Pay: $16.00 - $18.00 per hour

Expected hours: 18.0 - 24.0 per week
