Responsibilities:
Responsible for all front desk activities and the patient experience at the practice.
Greets patients as they enter the practice and checks them in for scheduled
appointments. Assists patients with questions/requests and makes them feel welcomed.
Secures and verifies all information for new and established patients according to
protocol, scans or copies insurance cards, driver's licenses, labs, etc.
Enters and updates new patient paperwork into the practice's management system
or chart.
Proactively requests clinical documentation and files as needed.
Explains financial and collection policies to patients. Provides written
guidelines/policies to each patient.
Collects copays and provides quotes to patients for services/procedures.
Ensures all patient paperwork is completed before patient is seen - follows practice
protocol to notify the clinical staff when patient is ready to be seen.
Answers the telephone pleasantly and proactively to provide great customer service
and assists patients with their requests.
Provides general information about services and procedures to prospective patients
over the phone and emails Encourages patients to schedule an appointment at thepractice for an evaluation and assistance.
Manages and directs incoming phone calls, e-mails, e-faxes to the appropriate team
member and provider depending on what is needed.
Schedules patient appointments with professionalism and responsiveness.
Makes reminder phone calls before designated patient appointments and/or uses
automated technology to assist with the process.
Manages the wait list and cancelation list. Keeps them updated and ensures
appointments are schedule and/or rescheduled.
Calls back patients who are overdue for their appointments to ensure they get
scheduled for an office visit.
Manages patient leads by responding to daily incoming e-mails, texts, social media
digital messages, and calls.
Maintains patient confidentiality by following the HIPAA Compliance Plan established
by the practice.
Helps with sending letters/communication to other offices/providers.
Manages break room and all office supplies inventory.
Stays updated with practice software as it relates to job functions.
After being fully onboarded as the Director of First Impressions, to be cross-trained on back office Patient Care Coordinator & patient intake duties
Performs all other tasks and projects assigned by the medical director and/or practice administrator.
Qualifications & Experience:
Positive, upbeat attitude, and a smile that shines through the phone!
Pleasant speaking voice and demeanor - excellent telephone skills.
Three years' experience in a medical office, preferably in the cosmetic or aesthetics industry, with strong customer service experience desired.
Proven experience with proactive customer service and service recovery.
Strong written and oral communication skills.
Neat and professional appearance.
Knowledge of medical terminology.
Comfortable with technology: computer, iPad, multiple phone lines.
Education Requirement:
High school diploma required
Associates degree preferred
Compensation: Starting at $18 (based on experience and negotiable)
