Front Office Specialist

Job Summary:

The Front Office Specialist is responsible for performing essential administrative and clerical tasks to support the practice's daily operations. This position interacts directly with patients and families all day, every day. A positive, friendly, and welcoming attitude is required at all times.

Duties and Responsibilities:

1) Check in patients (in-house and in Curogram):

o

Verify patient information: address, phone number, email, insurance, pharmacy, and ensure they are signed up for the Patient Portal.

o

If the patient has new insurance, assist them with the update.

o

Collect any outstanding balances, copays, or self-pay amounts.

o

Address all sticky notes:

o

Note on the sticky note what was done.

o

After noting and saving, delete the note if necessary.

2) Check out patients (in-house and in Curogram):

o

Collect any outstanding balances, copays, or self-pay amounts.

o

Schedule the next appointment within the timeframe requested by the provider.

o

Ensure appointments are not scheduled beyond the timeframe to prevent patients from running out of medication, which could incur prescription fees.

o

If the patient chooses to schedule outside the recommended timeframe, note in the appointment comments that they are aware and agree to the Rx fee policy.

3) Answer the technical support line promptly when it rings.

4) Return all voicemails on your personal extension.

5) Closing Duties:

o

Lock all doors and turn off all lights.

o

Ensure providers do not need any assistance before leaving.

o

Dispose of any remaining coffee.

Required Skills and Abilities:

Strong attention to detail and problem-solving skills.

Excellent customer service and professional phone etiquette.

o

Familiarity with medical terminology and office technology.

o

Understanding of medical ethics and confidentiality.

o

Strong and accurate computer and data entry skills.

o

Excellent verbal and written communication skills.

o

Empathy and compassion to provide support to patients.

Reporting:

Reports directly to the Front Office Supervisor and Practice Manager.

Education and Experience:

o

High school diploma or equivalent required.

Physical Requirements:

o

Prolonged periods sitting at a desk and working on a computer.

Work Schedule:

Full-time, Monday through Friday (specific hours may vary based on clinic needs).

Job Type: Full-time

Pay: $18.00 - $24.00 per hour

Expected hours: 40 per week
